Hi Thanks for your answer I have set up four columns with these calculated fields and when forms are submitted it successfully sets the columns to the dates i need to use to send the emails but how would i set the workflow up to send just the one email on these dates and not one email for every submitted form?  Thanks

Hi i have a rule on the submit button which querys the data connection and then sets the ref number and submits. Thanks for your answer I found a way to do this a few weeks ago..... I set up a data connection to query the Ref Number column in the document library and the form adds 1 to the highest value - in my case this does work because the forms should never be deleted from the library and the ref number is not set until the submit button is clicked and ...

Hi thanks for this. I found a solution a few weeks ago and that was to add another seperate workflow to the document library that starts when a form is created and straight away pauses for 7 days.

Thanks - will have to change this. But am just hoping that i dont lose data in previously submitted forms. Although i think if i make a backup copy of the form template before i change the settings if i do lose data i can just re-publish the older version back to sharepoint to get it all back? Have attached a print screen of the versioning settings, do they look correct to you, is this what they should be? (not sure if 'update existing forms:" should be do nothing or automatically upgrade existing forms?) will i lose data on already submitted forms if i change anything here? Thanks Luke
