Okay, so I think you are saying the field you want isn't available in your form library. You need to promote the field when you publish. If you want to see all the selections, you can select the Merge function. I had seen that in previous versions of InfoPath & Outlook - but right now I am using InfoPath 2013 & Outlook 2016 and am not having that issue. Can you find out the version # of their Office 2016 install? I'm attaching a screenshot of mine.

Hi - your screenshot isn't displaying for me. You can attach it to a reply under the Options tab. I think you maybe just need rules on both the fields with your category scores to reset field Y, since both of those fields are part of the comparison.
