    Property promotion in SharePoint

    Hello once again,

I designed a form template for publishing on SharePoint. Additional I used property promotion on InfoPath for showing information#%92s of the form in SharePoint.

I don't know if this is a bug: I published my form with a set of properties to promote. Later I went to the form options -> property promotions once again and I added additional fields from the form to promote. But: SharePoint/InfoPath doesn't promote these properties! Why? They fields are not listed in the columns of the content type in SharePoint...

    Facts:

    - InfoPath 2007
    - SharePoint 2007
    - Form is administrator approved
    - Form library is managed by content type (the administrator approved InfoPath form)

SharePoint will only promote the new properties when forms have been saved AFTER the update to the properties. So newly saved forms will show those properties, but old ones won't until you save them again. There's other ways to do it to (in bulk), but I can't think of them at the moment.

    Hello Greg!

    Thanks for your answer!
So what do you try to say to me? :-) It is not possible to promote more properties after the form is publishing on SharePoint?

If yes, are there any tricks do promote one property more? I can't remove the whole content type on SharePoint because many personalized views and features are bound on this content typ.

    Re: Property promotion in SharePoint

Property promotion is done when the XML form is saved or submitted to the server. So, let's say you have 5 properties promoted in your form template. Now, you save a form to SharePoint - those 5 properties are extracted and promoted. Then, you go back to the form template and add a 6th promoted property. Of course, since the form you previously submitted hasn't been re-touched, the 6th property doesn't appear. You need to open and re-save the form. Or copy it down and re-upload it. Then the 6th property will show up. We have a bulk upload tool that we sell for like $10 which allows you to download hundreds of forms and upload them all at once. But, for a handful of files, just manually open and resave.

Also note, you can use the "Relink" view in SharePoint to relink your forms to the published template which also will touch all the files and fix the property promotion. Of course you're not actually relinking b/c the XSN link is probably ok, and all the checkboxes can be tedious. But it's just another possible method.

    Hello,

I'am back to the office and working once again on the problem above.
Because: The property promotion didn't work well. I can see the column in SharePoint but this column is empty for each new document. But if I open the document the XML file) in notepad, I can see that the XML-Tag contain content.

    Whats wrong?

Try going into central administration and choose the option to "Deactivate from Site Collection".  Once that completes, reactivate it to the site collections you are using the form on, and the content types/form libraries should be updated correctly.

Please see my blog post (http://arichterwork.blogspot.com/2008/03/infopath-property-promotion-woes.html) for more info on this.

You can go to the site collection features, deactivate the content type feature e activate again, this works fine!
