Okay, I'm hoping you all can help me. I've been looking around but haven't really found an answer. I think I may not be getting something basic about InfoPath that everyone else knows. Or maybe you can't do what I think you should be able to.
Here is the situation:
A form called a Position Authorization Form was created in InfoPath and attached to a document lib in Sharepoint. When you click new, you fill out said form, hit submit, workflow starts. That is all great and works fine.
Now, assuming everyone keeps saying "ok" for the position in question, there would be a total of 3 people to approve it, who must approve it one after the other. When an approver clicks on the link in the task email, it opens the form up in the client because everyone here has InfoPath installed. (One time it opened in the browser, but I'm not sure why. Anyways, the same thing happened. I wish it would do that all the time.) The form may open as read only, but there is still the cursor in the boxes, so the user could potentially start typing stuff and then be asked to save.
How do I avoid this? I don't want people thinking they can make changes to the data in the form.
The other issue is that if Approver #1 approves the position, it goes to HR to be classified (union stuff), so they have to be able to access the form in a entry mode. But none of the other approvers should be able to.
Approver #1 will be a different person depending on the department, so I can't just say "Oh, Jim gets View 1 and Sue gets View 2." I don't even know if views would take away the ability to type in the boxes.
Is there a way that when the submitter hits "submit" it can save as a PDF that is routed (without the submitter needing to do anything else, a requirement for this project from the powers that be) instead of the InfoPath form? And then how would HR access the form to add the classification data?
Ok, i realized that I can switch to Read Only upon submit. But I'm still not sure how to get HR to add the classification later (between approver 1 and 2).
