Having problems with mailing a form from Sharepoint 2007

I want to be able to mail a form, created in InfoPath, published in MOSS 2007(with InfoPath forms service) opened and fill out in a web browser. But it doesn’t work. I have done the following: Created a form in Infopath, configured a button with a mail profile, not special about that. Checked that the form has no conflict with the MOSS 2007 server, then published it in a standard Infopath Document library with the option to enable web browser editing. The MOSS 2007 server is an Enterprise edition(required for the Infopath forms Service) All is a standard configuration and by the book, and still the form fails to send an email. I can get it to work if I open it in Infopath, but the whole idea is to be able to open it through a web browser, so that the clients don’t need Infopath installed to use the form. I have even tried a form with only a Send button, which is configured to send the form as an email. Still no luck I have checked the event log for error messages, but there are none. The only indication that the form doesn’t work, is the fact that I don’t get the mail and the standard error message from the form, which you can enable in the creation of the Send profile. What am I doing wrong??? I really hope someone can help, are getting too many gray hairs from this.

Hi PoulLB and welcome to the forum,

You need to configure the server to send e-mail. On SharePoint Central Administration (on the SharePoint server), go to the Application Management. Under SharePoint Web Application Management, click the E-mail settings link. Three properties are required for the server to send e-mail: Outbound SMTP, From address, and Reply-to address.

    Hello.

I have the same problem, but bigger. I red Patrick's recipe, but, unfortunately I can't make it work. In fact, outgoing e-mail setting was already (and properly! - alerts are working, e-mails are going when I'm giving some permissions to users, they going from my workflows) configured before I tried to send an e-mail from IP form. And, of course, I can send e-mail when doing form preview.
First, I published form to a document library, then I published it as a content type, and finally I made it "Full Trust" and published as "administrator-approved", but it is always giving the same "detailed" (as usual in IP) error description - "An error occured while the form was being submitted".
Then I went to Central Administration to double check e-mail settings, I added reply-to address to farm e-mail settings configuration and to webapp settings (of course, it didn't change anything in form's behaviour). In our company we are using Exchange as e-mail server.
And here is the error description in SharePoint log:
10/31/2008 15:46:56.05  w3wp.exe (0x0298)                        0x0E24 Forms Server                   Forms Services Runtime - Data C 82g0 Warning  Form submission failed. (User: <domain>\<username>, Form Name: <form_name>, IP: , Request: http://<sp_server>:1056/_layouts/Postback.FormServer.aspx, Form ID: urn:schemas-microsoft-com:office:infopath:<form_name>:-myXSD-2005-10-21T21-12-27, Type: DataAdapterException, Exception Message: There is an error sending the email.) c173fa19-c1c3-4773-a0b8-6a0b6f571781.

What should I do more to make it work?

    Thanks.

Re: Having problems with mailing a form from Sharepoint 2007

     Hi there,

     I think i have the same problem with Grossmeister which is ;

    1. Email Settings are checked and they are true.
    2. Form is published as administrator-approved.
    3. Sending mail from form preview works correctly.
    4. Sending mail from workflows works correctly.
    5. We are also using Exchange (Maybe that is the problem i have no idea).

But i still get the error --> An error occured while the form was being submitted.

    Waiting for any ideas thanks...

    Hi Sober,

Maybe you just need to drink some special SharePoint potion! :) Before I prescribe the appropriate elixir, can you look at your log file and send us any errors you find there?

Hi Meister of Gross and I'm really sorry for being so lame in my late response,

Anyway, I would try restarting IIS. If you keep getting the error, you should search the Microsoft KB site for the w3wp and Form Server updates (make sure you have the latest and greatest installed). Search for the exception string and then contact Microsoft. Seems like an error in the Form Server software. Sorry I can't be more helpful!

Re: Having problems with mailing a form from Sharepoint 2007

OK, I made some test. Here are results.
I installed MOS2007 Ent SP1 on a clean 2003 Server R2 SP2. I didn't get why the forms I created sometimes was sending emails only from code, or why forms designed in IP 2007 were not working and at the same time same forms made in VS 2008 were OK. But finally I received very stable results.
    1. Form created from zero (blank template) sends emails without any problem.
    2. Form created using some template (for example, Expense Report) can't send email.

In my previous post I showed some SP logs, but that time I missed one message which is always coming after failure:

#160005: Bad response from SMTP host'<exchange_server_name>': 550 5.7.1 Requested action not taken: message refused .

After I saw this message I ask our system administrator to check Exchange side, and here are logs from Exchange:
    1. After successful message from sharepoint infopath form:
    2008-12-18 09:55:28 <IP> sharetest SMTPSVC2 <exchange_server_name> <IP> 0 HELO - +sharetest 250 0 51 14 0 SMTP - - - -
    2008-12-18 09:55:28 <IP> sharetest SMTPSVC2 <exchange_server_name> <IP> 0 MAIL - +FROM:<moss_address> 250 0 46 33 0 SMTP - - - -
    2008-12-18 09:55:28 <IP> sharetest SMTPSVC2 <exchange_server_name> <IP> 0 RCPT - +TO:<my_address> 250 0 31 28 0 SMTP - - - -
    2008-12-18 09:55:28 <IP> sharetest SMTPSVC2 <exchange_server_name> <IP> 0 DATA - <some_special_exchange_address> 250 0 136 7423 250 SMTP - - - -
    2008-12-18 09:55:28 <IP> sharetest SMTPSVC2 <exchange_server_name> <IP> 0 QUIT - sharetest 240 266 72 4 0 SMTP - - - -
    2. For failure form send:
    2008-12-18 09:55:38 <IP> sharetest SMTPSVC2 <exchange_server_name> <IP> 0 HELO - +sharetest 250 0 51 14 0 SMTP - - - -
    2008-12-18 09:55:38 <IP> sharetest SMTPSVC2 <exchange_server_name> <IP> 0 MAIL - +FROM:<moss_address> 250 0 46 33 0 SMTP - - - -
    2008-12-18 09:55:38 <IP> sharetest SMTPSVC2 <exchange_server_name> <IP> 0 RCPT - +TO:<my_address> 250 0 31 28 0 SMTP - - - -
    2008-12-18 09:55:38 <IP> sharetest SMTPSVC2 <exchange_server_name> <IP> 0 QUIT - sharetest 240 766 101 27001 766 SMTP - - - -

So, as you see, on one side MOSS is telling that message was refused by SMTP server, on other side Exchange is telling that message is OK, just there is no DATA in message!
I thougth that maybe it is because of message size, but not - I could easily send up to 200Kb from working form.
And now I ahve no more ideas why this happens. :(

The only thing I can't understand is - should a message come to me if there is no data inside, but it has FROM and TO?

Re: Having problems with mailing a form from Sharepoint 2007

It's just a matter of configuring the e-mail on your MOSS box.

Go to Application Management tab on the Central Administration site. Under SharePoint Web Application Management, click the E-mail settings link. Three properties are required for the server to send e-mail: Outbound SMTP server, From address, and Reply-to address. E-mail sent from Forms Services does not use the current user's name but rather uses the From address settting. While this may seem odd, it serves the purpose of a machine account. Clients can always expect taht e-mails sent by that account are actually from the server and not a real person.

An alternative to using the UI is to use the OM or the stsadm.exe tool. The example below shows how to use stsadm.exe:

stsadm.exe -o email -outsmtpserver <emailserver> -fromaddress [email protected] -replytoaddress [email protected] -codepage 65001

    Happy trails!

SharePoint prevents you from impersonating the sender's e-mail address because of security concerns. If someone spoofed Bill Gates e-mail, he'd get a ton of replies...

The book published by Microsoft and written by Scott Roberts and Hagen Green (who developed and tested the e-mail feature in MOSS) says the following: "The decision behind this design is to mitigate anonymous spamming or relaying of e-mails through Forms Services" Having the e-mail address in the body is different from the actual sender. They are different security scenarios.

Re: Having problems with mailing a form from Sharepoint 2007

Just in case this helps anyone out there ... so I have Sharepoint 2007 Infopath Services, and we have forms that are submitted via the browser. So, all of a sudden this stopped working, when submitting the form (which went to an e-mail address), Sharepoint would say that the submission had failed.  But the "Welcome to site ..." e-mail feature did work when adding new users to a Site.

So I tested with a Blank Infopath form and only added the Submit connection to send an e-mail to the account I needed, and that worked fine!

So ... what I then did on my existing forms was create a new data connection (from Infopath > Tools > Data Connections).  And after having done that on Tools > Submit Options, I told it to use the newly created data connection instead of the old one.  I don't know why it stopped working, but since I only have a couple of forms in my environment, it wasn't much of a hassle.

    Hope this helps someone!  :)

Re: Having problems with mailing a form from Sharepoint 2007

    hi all,

i'm reading with interested this topic because i'm doing the same job in my sharepoint farm.

I've an infopath form that i use to send emails from sharepoint site.

But i need, and i use, sharepoint designer workflow to effectively send emails from sharepoint...with a lot of lockups that take values from form fields to sharepoint workflow.

But in this discussion i don't read anything about workflow....so i guess, is there another way, and probably a more simple way, to send email from infopath form without using workflow?!

    Thank you in advance,

    Gianluca
