One form to two different document/layouts

First-timer to Sharepoint and InfoPath hence my question on the scenario stated below hence apologies if my question might sound too easy for what I require.

    Scenario

    1) User A fills out a form and submits the info

    2) Once the form is filled by User A, Document 1 gets filled and emailed to User A (in Excel or preferably in Word), while the data correlated from the form also gets filled into Document 2 to be accessed by User B where User B may add additional info from the form created by User A.

Note: Document 1 will contain a different layout to Document 2 (as this gets sent to User A) plus Document 2 has more fields irrelevant to Document 1, which is only to be filled out by User B.

Note: Document 2 has the same fields as Document 1 (eg. buyer, seller, purchase date) but with additional fields which does not get seen by User A but instead gets seen and filled out by User B only.

I think this may require using multiple views but does anyone have a form similar to the above scenario? That way perhaps I can understand how the template is being done. Hopefully shouldn't involve any form of programming as I'm a clutz when it comes to that area.

Hi Fred, welcome to the forum.

I am with you with number 1.

For number 2, you would want to have a seperate view but it still should be your InfoPath form. There is no easy way to transition or manufacture a word or excel file easily from InfoPath, but you can replicate either one with a InfoPath form. You can replicate almost any word layout and you can have tables like excel.

You can have a submit data connection which submits the form via email too.

You should look at the Database Accelerator download. Qdabra Database Accelerator Suite Version 2.1 - DeveloperWhat you are describing is best with a backend data source so that as multiple users interact with it they have the latest information.  You would also need to identify the user so that both User A and User B get the correct data view.

There are some sample templates included with the Database Accelerator which have assignments and email routing. If you would like a demo of some of these, to give you some ideas or see if they might be adapted to your solution, click on my name and send me an email and we can set somthing up.

    Hi Clay

    Thanks for the welcome :)

I will follow through with your recommendations and see how it goes. All this will be sitting ontop of MOSS and SQL so will I still require Qdabra?

A sample layout or template would be much appreciated in relations to this scenario.

    Cheers
    Fred

It all depends on what you are doing and what your ultimate goal is.  With Qdabra's DBXL you have a platform with lots of potential for multiple solutions or extending this one.  You can probably do a lot of what you are describing without it but what I find is as you get into it and or users start requesting obvious extensions of the functionality you will get into a corner with a limitation.  So in my experience I like to build it from the beginining on a platform which I have the maximum flexibility and power.

If you would like a demo of some similar solutions then send my an email and we can set up a quick Live Meeting.
