Tracking the changes on Infopath Form in Access DB - Auditing.

    Hi All,

I have completed creating an application that serves as a repository for storing information. The database is Access 2007 with Infopath forms as UI. There will be about 5 users accessing the database through the forms. All 5 users can change the records created by one another.

I would like to track the changes to the records done using Infopath Forms and later show the changes done for a record in a Grid Table. How do I trigger a change of value on Infopath Form to the Access database. (By storing the changes in a separate Table - History/Audit Trial).

This one piece is holding up the delivery of the App to my users. I do not have the option of using any external 3rd party s/w to get this done. It has to be using VBScript code.

    Thanks very much.

    Rajeev.

I do not believe Access has robust history like SQL Express does. You maybe could create something with SQL triggers.

As you probably know you cannot submit to a seperate table from Infopath with out Web services.  With web services it would be pretty easy to keep a audit table up when it was submitted.

Another option is adding the User and Date stamp to your main data table and updating it on submit but this would be somewhat limited and would make your reporting more difficult but would be doable with your current architecture.

This is a typical issue that comes up with the InfoPath database form + Access architecture.

I think you would have to do something on the SQL backend with triggers to monitor table changes and create the audit but I do not think that Access has anything out of the box to do this like SQL does.

Maybe someone else will have another idea.

    Hi

As Clay says the simplest solution is to use a web service to do versioning, or SharePoint maybe (which is a web service itself) the reason Qdabra developed a versioning tool in the DBXL suite was precisely for this reason.  Have a look at http://www.qdabra.com/content/prodinfo/DBXLv2/Qdabra-DBXLBusinessValue.pdf for more info

    Cheers Adam
