sharepoint list with several columns - lookup and auto enter into infopath?

    Hi,

I have a simple sharepoint list created specifically for infopath to lookup. The list has 2 columns, column A has 8 department names, column B has email addresses for each department. It is one small part of a larger customer form which uses a much larger sharepoint list to record the inputed data.

I want users to select one of the departments in Infopath using a dropdown lookup on column A (which I have managed) but I also want the associated email address data from column B to be recorded somewhere too, my guess is in another Infopath field (which the user doesn't have to be aware of in this instance). I will then use the email data in a sharepoint workflow to send an email to the correct department to alert them to the enquiry.

So I am stuck with the bit which involves recording the content from column B somewhere after the user has selected a department. Can someone explain how this may be done, in clear easy to follow steps? My guess is that it can be done with rules in Infopath but I didn't manage to get this going by myself, maybe there is another way?

    Many thanks

    Kenny

You'll have a rule on the dropdown field to set a field's value - this can be a field in your main data source that is not displayed on the form. In the rule, you'll set the target field to the email column from your list. There is a button when you pick the field that says "Filter Data" - click that, and you can add a rule that the department matches the department in the dropdown. I'd be happy to help you with this rule if you attach a copy of your form under the Options tab in a reply.

Your secondary data connection called schools-email-lookup needs to also include the email column from that list. Can you update your test form & re-attach? Also- when working with list forms, you often need to select "Show advanced view" on the field picker dialogs.

     Hi Hilary,

I created a new data connection called schools-email-lookup1 which has both fields connected. I couldn't edit the first one. Hopefully this is what you need..

    Many thanks

    for your help!

Actually, the first one also now includes the School Email - I'm not sure why you couldn't edit it? At any rate, give this a try. Save it locally, right click and select Design to open in design mode, then preview and see if my rule on the schools field works - I believe that in a case like this, where you have multiple lookups on the same list, all the fields store the same value, so we don't even need an XPath filter. Just to set the emails field to the same value as the schools field.

Wonderful news! So you know - the reason a very simple rule works here is because both lookups come from the same list. If they did not, you'd need to use an XPath filter.
