Edit multiple list items with one form

    Hi all,

I have a form with a repeating section which allows me to create multiple items with just one view. I would like to know if it is possible to build a form to automatically open multiple items (eg. when I click on an item I would like to open all the items with the same Title) and edit them in one view.

I'm uising InfoPath 2010 and Sharepoint online (I cannot use Sharepoint designer or qRules).

     Thanks in advance!

So - this is a SharePoint list form? I wonder if you set the Title query field in the main data source & execute the query if that would bring back all of them for edit.... maybe give that a try?

Dear Hilary, thank you very much for your reply.

Yes, it's a Sharepoint list form (customized with InfoPath).  I know how to filter dropdown menu choices based on antoher list, but I think you are saying a different thing here.

I can create a different display form for my list, but how can I execute the query when I click on the title of one item? Would you kindly give me some instrucions on how to do that?

    Thanks a lot.

I think you need a form load rule to handle this - so - if the title data field is not blank, set the title query field to that value and run the query? I'm kinda being vague because I'm not really sure if this will work. If I have time today I'll give it a try and see if I can get you some more specific instructions.

Re: Edit multiple list items with one form

Thank you Hilary, I made two form load rules:

    1. which sets the Title filed value equal to Title value of the dataFields, when the Title field is not  blank;
    2. which queries for data from the main connection, when the Title field is not blank.

These rules work well in the display form (I'm able to the see all the items with the same title) , but when I click to edit I see an empty form .

    Any ideas?

Okay! Same thing happens on my site with a similar setup (i.e. form load rules to pull all same named items) - opens correctly in Display, shows everything, but clicking Edit leaves me w/ a blank form. If I directly select Edit from the list view (instead of View > Edit) it works as well. So - how about this - instead of using form load rules, add a button that loads all item - label it "Show all related items" or something.... same rules - set query title to the title field and run the query. In the display view you will probably have to add a secondary data connection to the same list that queries matching titles - you could do that on load, and only display the data on the display view - because buttons get hidden in that view. Does that make any sense? :)

Brilliant! The button works! :D Thank you so much!

But I didn't get the second part regarding the display view:

How can I set a rule only for the display view (if this was what you meant)?

Well - the thing is, you could add a secondary data connection that returns data from the same list, and only use it in the display view. So the rule would always run, but if you only are displaying the data in the display view, it won't be confusing in the edit view - and then in the display view, you'd see all related items. Does that make sense?

Re: Edit multiple list items with one form

Your idea makes sense to me. But if I apply a form load action rule, which queries for data in the display view, this rule will affect all the views. So, I don't know how to query data from the secondary connection only in the display view.

Right - this query will always run. It doesn't matter that it always runs. It is a SECONDARY connection. You add another connection to the same list - this works around the issue of the main data source being cleared when you add a query to it on load.... I can update my sample form for this later today & attach a copy so you see what I mean (even tho you can't preview it). :)

Thanks! I'll wait for your sample file. I'm not able to make it works if I try to query from the secondary connection... I'm doing something wrong for sure

Here's my form - take a look at the read view. I've got a form load rule to query the 2ds.
