    Form Loads

I auto populate data from the userprofileservice in my forms. I have an approval section that is hidden to the submitter. Once submitted the form goes to their manager for approval. the problem I am having when testing is that when I open the form to view if the approval section has become viewable, which it does, it is auto populating the form with my user information instead of the person who submitted the form. And when they open the form originally it is their user info. So very confused?

Sounds like you are using default values here - so if you re-open the form, the data gets refreshed with your info. I dislike defaults for this type of thing. Instead, I use FormLoad rules with conditions - so, for example, the condition could be "FirstName" is blank, set the value from the user profile data connection. Make sense?

Can I see a copy of your form? You can attach it under the Options tab like you did your screenshot.

Here you go Hilary. Also you can see I have a two stage approval process. The problem is i cant configure those properly to hide the first submit box and second approval tier when emailed to the manager of the submitter. I deally i would like Tier I approval to come up and then when they approve or reject it gets emailed to me for approval so I would need tier I to hide and Tier II to appear keeping in mind after user submit their submit button should always hide. And again being able to have the manager and myself pull up these submissions without overwriting info with our userprofile info, that would be ideal. I was hoping their was a document out their. Right now it submits to a library...which i only want it to submit to library after both approvals. Adding a screen shot of the library and how it looks if i submit straight to library after requester submits.

Your condition in your form load rules is incorrect. It is checking the account name field in the secondary data connection - on form load, that will always be blank. Instead check the account ID field in the main data connection.

Thank you that seems to have worked for opening the form and keeping the same user data.

If you notice from the above form library screenshot...the manager for Colin is Donald. But when I open the form now after the change you recommended his manager says my manager. Meaning i must not have the DC to getcommonmanager or the value for that manager field set up properly...any thoughts?

It appears you do have a default value in Manager. Remove the default. It does appear you have form load rules to set the value. Since you query these data connections in your form load rules, you may wish to set those data connections to not query on load - that is an option in the last screen of the data connection wizard.

this works fine, but it brings across an email for the manager instead of the manager name. On top of that it has a i:0#.f|membership| in front of it. I have used the sub-string after function but to know avail i cannot parse out the email

Is that manager info from the initial Get User Profile By Name query? You could then set the account name to that manager's account name, and query that data connection again to get back the manager's info. Not sure what you mean by this: "I have used the sub-string after function but to know avail i cannot parse out the email" Substring-after could be used for this - you are looking for the substring after " i:0#.f|membership|". Put the query & data fields from these various connections on your form and add buttons that query them - you can clean it all up after you are done developing your form - then you can see what is returned in various fields for various queries.

please reference newly uploaded file. When you publish or run it you see that the manager field is two substrings. One the email and the other the federation string. I tried using substring after but it did not work. Is their a document on how to get the manager s name of the user that is queried with the userprofile services. I dont even mind the mgr coming across as an email. Makes it easier for approval workflow. But i just cant find a way to use the substring and have it work. Ive been through every doc I can imagine.
