Infopath basic form & email drop down choices

I am way out of my league with Infopath.  It's a great tool but I'm so green with it and have no programing experience.  I've built a generic form for leaders to email (Outlook) our Executive and copy me for employee recognition.  That part works using the data connection piece.   We wanted to add an option so that specific senior leaders also get the email. So I added a dropdown list field and in the properties I selected "cannot be blank" to force a choice and entered manually the choices of 4 emails with the option below for 2 additional emails to receive the submission.  However, when user chooses one of the selections from the drop downs & submits, they recipient chosen is not getting anything, only the Executive and I receive it as before.  I also tried to add the group of 4 emails/2 emails to the BCC: as a fx by "inserting field or group" and the formula appeared correct but alas that did not work either.

    Thoughts?

    Hi,

To my understanding, some email recipients aren't receiving the form upon submit. Could you send a screen shot of the email data connection's To and BCC page (this should be the first page you get at the data connection wizard when you click the "Modify" button). This page should show a concatenated formula for the To and/or BCC recipients.

Re: Infopath basic form & email drop down choices

Remember,  I am really green with infopath....and apparently the use of this forum site too.   I can't figure out how to attach my screen shots...the paste & paste from Word didn't work and when I clicked on the insert/edit image, well that's WAY over my head.   Soooooo here's what that screen looks like:

To:  [email protected]        fx - my boss's email

Cc: [email protected]        fx - my email

Bcc: ALO                                                 fx - a list of 5 exective emails in a field/group that it let me add once I clicked on fx.  Says formula contains no errors.

    Subject: filled out                                    fx

    Introduction:   filled out

When I first built the form, I had nothing in Bcc: because I could only get it to add one email but that doesn't work because the one emailee doesn't need to receive a BCC of all the emails, just the ones for their departments.  It would be too confusing for us to have 5 separate forms (depending on who the Bcc should be) for emailer to choose from....was trying to keep it as simple as possible for the end user.

In the body of the actual form, I included a dropdown list of the 5 executive emails with "cannot be blank" option so the send has to choose one of the 5 before he can submit/send the form, thinking since their email address was listed here, it would email them also.  This is the same list shown above in Bcc:  ALO

    Thanks for any input!

Re: Infopath basic form & email drop down choices

    Hi,

It seems like the ALO field is not concatenating the values properly in order for the send email action to work for the selected addresses. If you are using a default value for the ALO field, the formula should be similar to this:

    concat(EmailField1, "; ", EmailField2, "; ", EmailField3, "; ", EmailField4)

where EmailField1 is the field for the first email drop down... and so on...

Note that the semi-colon is necessary in order for InfoPath to distinguish the addresses. If you are unfamiliar with this technique, you may copy the formula above and paste it onto the default value for the ALO field - make sure you put this into the Formula box when you click the fx button.

Then replace all the EmailFields with the proper fields - the drop down email fields.

Kindly test this and see is this approach works for you.
