Email not Pulling in Actual User Email, but Another's

Function query of company employee list auto-populates logged in user's name in a blank InfoPath text box - userName() - at form open. When I open the form, my name pops up in field. Next box is User Email. Function Value: EMail[UserName = UserName] pulls in an email address; but, it ain't my email address. Recommendations?

    Hi Curtis,

This sounds odd. Are you using a data connection to pull out this information? If so, kindly display all the firlds from the data connection whre you are querying the data from and see if it does pull out the correct data. If it does show the correct one, would you mind attaching a sample of your form so would have a better idea how your logic works and I dentify what isn't working for you?

How does one attach a form to this thing?

In a reply, click on the Options tab. From there you can attach a file.

So, I took a look at a copy of this form you sent me the other day. First - why in the ReportingPartyEmailAddress do you have a default value that sets the field to its own value? I don't understand that at all. Second, I'd expect a rule on the ReportingPartyParkDivisionAgency to set the email address. Does the UserInformation list return the user name exactly as the InfoPath userName() function returns it? InfoPath / XML are case sensitive. At any rate, if the User Information list has a user name in the User Name column that matches what is returned in the ReportingPartyParkDivisionAgency field with the userName() function in InfoPath, the rule that I added to ReportingPartyParkDivisionAgency in this copy of your form should set the email address. Right click the link to the file in the heading of this post and save as to save locally. Right click the saved file and select Design to open in design mode.

     Why?

Because three weeks ago I had never heard of InfoPath; and, knew enough about SharePoint to be dangerous.

I'll reconfigure as instructed and give it a whirl.

    Thank you very very much!

If you tell me how, I will attach my updated form, with recommended query/filter for email changes.

I still couldn't get it to pull in my email along with my User name. Though, the submitter (User name) that auto-populates is still mine - In the case sensitive XML format. But, nothing shows in the submitter email field.

When I pull over all the fields from my data connection (User Information List) as a repeating table and open the form hundreds of names, with corresponding email and ID appear in that table.

    Hi Curtis,

It looks like the query is working but the filter is not using the correct value. Using the form attached by Hilary, could you try manually entrering a username (kindly use a valid username entry from the User Information List) and see if the query will return anything?

If this works, then it looks like the userName() function isn't returning the correct value needed for the filter. You may need to compare the value returned from the userName() function against the username data from the User Information List.

Please try this for now and let us know how it goes.

    Edit:

May we also know which SharePoint version are you using?

Yes, that did it! Hand-craming a valid case sensitive Username returned the appropriate and correct email address. Problem is the list (of thousands) wasn't created so that both columns have data. Some Username will return addresses, some won't. I'll have to find another way. Is there a way to a mass migration cut and paste - the email addresses - from a repeating table containing the information once its displayed in the form?

    Hi Curtis,

I am glad that you are able to figure it out. Good job!

As for mass migration, if you can export all the data to a single spreadsheet, you could try using the Qdabra Excel to InfoPath Migration Tool and perform a bulk upload to upload the XMLs onto a new SharePoint list containing the username and email address.

Here's a guide you could use: Export from Excel to SharePoint using Qdabra's Excel to XML Tool

    Hope this helps.

New Form Not Auto-populating Fields When I Use Queries and Field Value Practices from First Form

Don, I've got another one. Different form (Employee Quals and Certs). I have a list with all the data. I created a form that mimics the one we've been working on. I also mimicked the queries and field values provided by you and Hilary. I cannot get the fields to auto-populate that data, like on the ITM form. Any suggestions?

Re: Can't Mimic Auto-Population of Fields

I created two other forms based on the previous format, and your sample queries and field values for this form. The only difference is the data.

I have not been able to get the two new forms to mimic the auto-populate functionality of the first form. Please advise.

    Thank you,

Re: Can't Mimic Auto-Population of Fields

    Hi Curtis,

Sorry for the late response - I've been swamped for the past few days. As for your form, have you verified that the data connections are working properly? You may display these fields on your canvas for testing purposes, then preview your form to check if the query works on form load.

If that doesn't work, then there might be issues on the formulas and/or cnditions you are using. Would you be able to attach a copy or a sample of your form so I could investigate further?

Re: Can't Mimic Auto-Population of Fields

I've asked before (and, I feel like such and idiot for asking again, but...) - I still can't figure out how to attach a file to the forum. Please advise.

     In the meantime...

I'm now getting back employee name - alphabetically, generated from the two column Employee Name/Email list. The employee name list query seems to be working fine, and return the list alphabetically, as configured. However, there is no auto-population of the Employee Email Address.

My data source, Employee Name and Email List Secondary, uses the Employee Last Name as the Sort by.

    Employee Name Field Query =

         Condition:

None - Rules runes when field Changes

         Set Field's Value:

Field: Employee Name and Email List / QueryFields / Employee Name

              Value: Main / Employee Name

         Query Using:

              Employee Name and Email List

Employee Email Address Field Query =

         Condition:

               EmployeeEmailAddressIsBlank

         Set Field's Value:

Field: Employee Name and Email List / QueryFields / Email Address

Value: Main / Employee Email Address

         Query Using:

              Employee Name and Email List

Re: Email not Pulling in Actual User Email, but Another's

     THE PANIC IS OVER!!!

I broke the code. The devil is always in the details! It was "Barzini...", I mean, the queries all the time.

Thank you for your assistance and patience!

     One last...

I am still getting the following warning when I open the web form. Though, once I acknowledge the 'Ok' the form is allowed to be completed; as if there was no initial error thrown.

I understand your first response. Let's assume I don't have access to, or anyone who has access to, that portion of the controls - to increase inflow. Is this another issue with the query(ies) that can be fixed through the Rules,  without impacting the function of the form?

    Thank you,

The amount of data that was returned by a data connection has exceeded the maximum limit that was configured by the server administrator. Form elements, such as drop-down lists, may be blank.
