Can this Data Connection Issue be Corrected?

I ran into an issue in March when the company increased security and out of the blue the team could not open the InfoPath form and received only the security error popup. I was not the original creator/owner of the form but I created a copy of the form and published it to a new form library resulting in the form opening from one form library (Audit Form) and the data still storing in the same location that it did prior to March (RC Feedback). I got the Security Certificate taken care of and all has been good--I've made a few minor tweaks to the form and published with no issues. Yesterday I added new sections with checkbox and text box. I added them, updated promotion properties and published but all the additions show only in the location where the form opens but not where the data is actually stored so I'm not getting any of the new data that I need columned or tracked. Audit Form--the SharePoint location where the form opens as of March RC Feedback--the SharePoint location where all the form data drops and is reported on (and where form opened prior to security issue) We only need this new data going forward but I do have over 2,000 records on the RC Feedback SharePoint that I have to keep, of course. I'm self-taught and only know the basics--have never had this type of issue but I need the new fields to promote to the SharePoint so I can track and report out to business partners. I guess I don't necessarily care if we have to keep opening the form in a separate place than where all data saves but I know we'll continue to add data and I want to make sure I fix sooner rather than later. Does anyone have any suggestions?

The library the form submits to still has the old copy of the form published to it as its template, I imagine... which would be why your newly promoted properties don't show as columns there. Publish your changed form template to that library (RC Feedback).

Are you currently able to open the form from the library you submit to, so you don't have to continue to use two libraries?

Thanks, Hilary! I tried that and I get "InfoPath cannot modify the form library template because the file does not exist. Copy the template to the form library or create a new form library." I'm not sure how to copy the template to the form library? Sorry that's probably completely a newbie thing. No, it won't let us open the form from RC Feedback. I get "This form cannot be opened because it requires the domain permission level and it currently has restricted permission. To fix this problem, open the form from the location it was published to." It gives the data for the original creator's desktop files. I did find Template Library on the SharePoint and it looks like that version is stored there, too--not sure if that helps or makes a difference? Is it possible to somehow create a new library for the new form and drop my previous files into it? I'm petrified of losing that data!! Thanks for any additional help you can offer.

You can definitely create a new library for the new form and move your old files into it. You'll need to relink the files - here's a post about why: http://blogs.msdn.com/b/infopath/archive/2006/11/01/relinking-forms-and-form-templates.aspx

What version of SharePoint are you using?

In an InfoPath form library there is a built in view called "Relink Documents" that lets you relink the files so that they open with the correct template. You'll also need to change the submit connection in your template to submit any new XML to your new library.

Oh that is FABULOUS news--thank you, Hilary!! I am reading and will probably have more questions :) I am using SharePoint 2007 and InfoPath 2010.

Relinking will be a little painful in SharePoint 2007 - you have to select each XML to relink it. But it can be done. :)

Keep in mind that moving the files to a new library will change the created date / created by and modified date / modified by.

Ahhh--thanks for mentioning the create/created by/modified date because turn around times and production tied into the create date. Did I jump too quickly to that as a solution or do you think that's my best bet for fixing as well as allowing for future updates? Thanks!

I think you may want to take a look at the library settings on the original library, see if you can find a way to republish your template there. If you go into the form library settings > advanced settings, is the library using a content type? Or can you click on the edit template link there?

*Content Types-Allow management of content types? Yes *Document Template-Template URL [blank] There's no option to edit there, but I opened the Template Library. It is also blank but has (Edit Template) link below the field. When I click on it I get this: "Edit Document requires a Windows SharePoint Services-compatible application and Microsoft Internet Explorer 6.0 or greater." When I look at the Template Library there are two InfoPath forms there--one is the original from 2013 and the other is the last version that was invalidated in March because of the security certificate. Also, I tried creating a new SharePoint library and published a copy of the newest InfoPath form there…but it still drops all of my data in RC Feedback. Is this something with the data connections that I'm just not familiar with?

Your form has a data connection that submits to the RC Feedback library. That data connection needs to be changed to submit to a different library (if you are using a different library).

In the Library Settings, since allow mgmt. of content types is equal to Yes, you need to see what content type the library is using. Then you can publish your template as a new content type and set the library to use it instead (but would still have to relink the existing XML if you want them to display data in your new promoted properties) or you can overwrite the original content type (save a copy first in case of disaster).

Re: Can this Data Connection Issue be Corrected?

Thank you for all of your help! I've never worked with these programs past creating, publishing and updating right where I want them so I've learned a ton! For the library, I am able to see the content is 'form' and the source is 'document', parent is 'form' but my access was denied to the links for both. I'm working on getting access updated so I can move forward. Thanks again for all of your time today!
