    Populating field from external list

    Hi,

My question is simple, but can not find any good answers on the Internet.

    Problem:
I have a list(employee) that contains the names of employee, vacation days and transferred holidays.
I wish to bring these fields in an InfoPath form that I called vacation.
I put up a dropdown field that retrieves names from the list employees and want to populate 3 other fields based on what name is shown in dorpdown.

I have tryed with rules and filters but cant realy find a godway to solw this. Tried several guides but non seems to have the solution.

in advance thanks for your help guys:)

     Hello zafiq76,

Welcome to the InfoPath community. This is a common use case for our users and for forms we design. There are two ways to solve your issue:

    1. One data connection method
    2. Two data connection method

    One Data connection Method:

    • Create a data connection to your SharePoint list with the desired fields.
    • Use a unique value such as user name or user Id column from the list to specify in the dropdown
    • On the dropdown, create an action rule to set related fields value to the value from your 2DS with a filter of the field from your main ds = 2ds field

    Two Data connection Method:

    • Create a data connection to your SharePoint list with only the field for your dropdown value
    • Create a second data connection to the same list with the dropdown value, and any other values that you want to use (note, do not query on load)
    • On the dropdown, have a rule that sets the query field value of the secondary data source to the value of the dropdown, and then query for information
    • This should return only the related data, and then you can set the fields in your form to the values in the list.

If you want to take it a step further, and update the information on the list, that gets a bit trickier. You can use a method called CAML to do it out of the box, but qRules has much better functionality with a command called SubmitToSharePointList.

    Hope that helps!

Re: Populating field from external list

thnx alot for the reply Bre.

I am struggling with creating the link and define rules and filters.
Could you provide a little guide pleas:)

Name off fields inn my form is "Navn". That gets "Title" filed from a liste with name "Fasilator".

The list caled "Fasilator" contains the feelds:

    • Navn
    • Overført ferie
    • Ferie

I want feeld "Overført ferie" and "Ferie" to show upp i min form when "Navn" dropdown are selected.

     Hello zafiq76,

Here is an example of cascading values. Take a look at the logic on the dropdown. There is an action rule to set the main DS field to the value from the secondary data source where the value fro the drop down is equal to the match value in the secondary data source.

    Hope that helps!
