    How to send email via button without submitting form

    I have a form that works well. I enter information and hit the save button and it is submitted to an existing SP list. I want to add a submit button that will send whatever information has been added to the form without saving or submitting the form. The form was created to track quotes for jobs and I want to create a button that basically says if the "vendor" field = Grainger then send email to the email address I entered into data connection but I don't want to send an email every time I update/access the form in the future by hitting save. I can get the form to send an email by creating a rule but it only sends when I hit save and the form closes not when I hit my new submit button. So the question is how can I enter all information into a form, hit the submit button to send my one time email to a vendor but not submit the form to SP until the save button is clicked?     You can just add a regular button that uses rules and have the rule send and email. I'm a little confused by your description? You can label a button with the word Submit and still just use ordinary rules on it.

    Thank you for your reply.  I tried just setting up a simple button with the email rule but when the button is clicked the form disappears. I would like the button to send the form as an email when clicked but do not close the form. I have a save button that saves the form to the job items list. I have 2 rules for the 2 buttons. For the save button the condition is None - Rule runs when form submitted. For the send email button the condition is vendor = "X" then send email. But I cannot get the email to send and also not submit the form to the SharePoint list until the Save button is clicked. I only need to email the form once so I don't want the buttons connected because that would send an email to the vendor every time I edit the form and click save. I have attached the form for visual. Thanks

    May I see a copy of your form? Just attach it under the Option tab in a reply.

    Thanks for the screenshot. What I was hoping for was an actual copy of the form template? So I could see how you had your new button configured?

     Sorry. I tried saving the form but the current settings erase probably due to my company's network. So I took another screenshot. I'm guessing InfoPath will only execute 1 rule and since my save button is under the Form Submit rules it is ignoring my email rule?

    InfoPath can execute multiple rules on a button click. Are you sure the Vendor is what you think it is? I see you have a condition on the rule to only email if the Vendor is equal to a particular text, but the Vendor field is a drop down - is it a lookup to another list? If so, it is probably storing the ID of the list item, not the text.

     Well there is multiple choices for vendors. I thought I could create a rule for every vendor once I got it working. Yes it is a look up. So how would I set up the button to "If vendor = vendorA then send email to vendorA, if vendor = vendorB then email vendorB"?

    Does your vendors list have the vendor email address in it?

    I'd add a secondary data connection to the vendor list and query the list for the selected vendor in a rule on the vendor field - maybe save the email in a field you don't show on your form, and set the form's email connection to email that vendor. I would not add a bunch of rules, each to email a specific vendor.

    I have this same issue, I have created the secondary connection to send the email form in the body of the email. However, this form gets updated through several steps. I do not want this email to be sent every time it is updated. I only want it to be sent once all approvals have been received from a specific view. Is this possible? Dorinda
