Automate emails when sharepoint list updated

i am setting up a system where staff log their hours and they get approved or rejected by a line manager. Basically staff fill in a form on an Office 365 site, that auto emails their line manager. The line manager clicks the link in the email and it opens their submission form in the infopath client with a different view so they and approve or reject it. This is where i struggle. I need it so that when they click approve or rejected and submit it sends an email to the submitter saying approved or rejected. As this is done in the client my emails do not seem to send here. Any advice would be great thanks.

    Hi,

I'm not sure I understand the issue correctly - are you saying that the emails are getting sent but are not displaying the correct Approved/Rejected view? Or are the emails not getting sent at all?

To send emails from the InfoPath client, you'd first need an email submit data connection (obviously). In your Approve/Reject button, your rules should first switch to the view that you'd like to include in the email and then proceed to the actual email submit.

Hope this helps; otherwise, please provide more information so we could understand your needs.

    Cheers!

Re: Automate emails when sharepoint list updated

Hi Sorry i'll try again :) The views are working ok it is when the line manager approves or rejects the submission using the client infopath. I have the web based form that employees fill in. This emails a copy of the form in a different view to their line manager. They click the link in the email which opens the form in the InfoPath client. As they do not use Outlook i can't seem to get it to send a confirmation email once the line manager submits it. Should the email submit data connection still work even if they aren't using outlook on their computer? Do the rules just get set up the same way as my earlier ones on the web based form? Or is there a different way? Thanks

Thanks for providing more info. :)

Yes - Outlook is required to send email from an InfoPath form. If you're saying that email submit works in the browser, I guess you just have to update the link that gets sent in the email to the manager so that clicking it would open the form in the browser instead of client. Have you tried that?

You should use the same rules to switch view and then send email, yes.

Hi How do i send the link so it opens the form in a browser? I can only see the options to send it as an attachment or send form current view. Many Thanks

To open up an existing form instance in a form library, just set link to the InfoPath file (.xml) /[PathToDocLib]/[PathToFile].xml Referenced from Kevin Dostalek slide deck

Hi It's to see another view of a form. E.g. a user fills in the form then a link gets emailed to the LM with a different view of that form so they can fill in some more boxes at the bottom. Thanks

So i would set up the form to have a submitted value, set the "form load" option to change views based on this value. Once the first person complete and submits the form the next person who opens gets the second view. Couple of things You may want to have different buttons for navigation depending on user so if the lm wants to review the first part they can switch between view. or the contents of the first submittal is in the second form depends on what you need i guess.

Hi Thanks for that. I'll try it now. How do i get the link in the email though? I can only get it to send as an attachment or with a print screen of the form.

    I posted a response for a technique - see http://www.infopathdev.com/forums/p/27946/96598.aspx#96598

In your case, you'd add a hyperlink control in the view that gets sent to the manager. To build this link, you also need to know your form's file name. So your link would be something in this format: concat(http://my.sharepoint.com/_layouts/FormServer.aspx?XmlLocation=/MyLibrary/", FormName, "&Source=http://my.sharepoint.com/MyLibrary/Forms/AllItems.aspx&DefaultItemOpen=1")

Still struggling sorry. 1. Where / How do i find my form link? I can't find an URL's that contain anything that refers to .xml? 2. Where would i enter the hyperlink control? and where do i add the concat? Hopefully get there soon :) Many Thanks

Sorry I should've asked first - are your forms in a SharePoint library? or are they SharePoint list forms?
