Pulling in People Picker data from another list the copying data

I have a form where I am pulling in data from another SharePoint list. Fields that come in are Project and Owner. I then have a drop down list on my form and the options are populated with the project names from the list I am bringing in. Then when someone selects a project, I want the associated owner(s) to be copied to my own People Picker field or at least into a text field. I setup an action rule so that when the drop down list changes to set my people picker fields with the ones that I am pulling based on the selected project. This does not seem to work. Multiple selection are allowed and when I preview locally I only get the 1st entry and it has extra commas between the Last and First name. When I publish the form, I don't get any result at all. I tried copying the data from the people picker I am pulling in to a text field on my form. I am still getting just the 1st name in the list (if there are multiples) and extra commas. Any suggestions? Thanks

    Hey there

If I am following you right, then what you are trying to do is filter your owner(s) names depending on which Project is selcted from a dropdown box?

If this is the case, I assume you have your sharepoint list with this sort of setup:

    Project           Owner

    Project 1        Owner 1
    Project 1        Owner 2
    Project 2        Owner 3
    Project 4        Owner 4
    Project 4        Owner 5

So again If I am following right you have your data connection to your list and when you select, say Project 2 (which you would expect to get "Owner 3" to appear, you are instead getting Owner 1.

    Is this about right?

Let's say you picked project 1 or project , what you would then want is anotyher drop down box with just those 2 owners in to select from?

If this is the case, then what you need to do is do an XML filtering by using the GUID code.
It can be a bit daunting at first, but is actually pretty easy to do and I can provide the code and walkthrough

Give me a shout if this is what you want, as I don't want to waste your time if I am getting the wrong end of the stick

    Regards

    Ryan

Re: Pulling in People Picker data from another list the copying data

Let me try to explain what I need in more detail. We have:

    1) Share Point List that we are pulling into our InfoPath form. We are pulling in the Project and Owner columns. On the SharePoint list the Project column is a text field and owner is a People Picker.

    2) On our InfoPath form, we are populating a drop down list with the project names we are pulling from the external Share Point list

What I need is when someone selects a project from the drop down, another field on our form (either a text box or people picker control) should be populated with the corresponding owner information.

I know I can just drop the 'Owner' repeating table from the external list we are pulling in and configure a filter to display what we need but I also need to promote the owner field in our own form and I can't do that with the external data field we are bringing in. My first step was to just setup a rule to copy the info from the external people picker to our own (also tried a text field) but it's not working. This method works for other controls but not people picker.

Re: Pulling in People Picker data from another list the copying data

Hi Ryan, you seem to have the answer I need. The only difference is that my owners can own multiple projects, while each project has only one owner. Project 1 Owner 1 Project 2 Owner 2 Project 3 Owner 1 Project 4 Owner 1 Project 5 Owner 3 I want the form user to choose the project and then all the relevant information is auto populated, including the owner. I've got the rest of it working (project number, location, etc.), but I couldn't figure out how to get a people picker to do a look up to my list of Project Info. So in my form I have a drop down box for the owner instead (the form user doesn't need to be able to edit this name; it's static and shouldn't change). This setup works to a degree. When the user chooses a project, the owner list is filtered to show only the appropriate owner, but the user still has to click the drop down arrow and select the name. This is a bit annoying but it's not the end of the world; so they have to click twice more, too bad. However, if the user then chooses a different project, the owner name doesn't change; instead the new owner name is appended to the owner drop down list and the user has to choose it. This could cause a problem as the user may not even realize that there is now another option in the owner name drop down, or may not know which name should go with the selected project. Make sense? I can clarify if not; I think I'm rambling here. Anyway, based on your response to the other fella, I think I'm going about this all wrong. Can you suggest a better way to do this? I'd really appreciate the help! Oh yeah, I'm using SharePoint and InfoPath 2010 and I have administrator rights to my site. Thanks again!
