What is the maximum number of records a Sharepoint list can hold?

    Hi,

I knew nothing about Infopath or Shareoint when I started this application. So I just followed a previously built application to do mine. Now I have a problem.

This is how my project works.

    1. We have a list in Sharepoint which now contains around 300 records.

    2. An Infopath form retrieves, updates or inserts data to and from the list on the press of buttons.

The method I used to insert data is almost similar to this tutorial. http://msdn.microsoft.com/en-us/library/cc162745(v=office.12).aspx

    My Problem

In Sharepoint 2010 portal, in the "All Item" view, the item limit was initially 100. So 1-100 records were in Page 1 and 101-200 records in Page 2 and so on.

While I could retrieve or update data for records from Page 1, I could not fetch or insert or update Projects in Page 2.

So I just increased the  Item limit in the "All Item" View to 100,000.  So all projects were displayed in Page 1 and I had no problem.

    My concern

But I read in many places that the Item limit in a view should only be within 5000 whereas in my case, I had set it as 100,000. I am really concerned if Sharepoint will allow records beyond this unknown item limit. Please advice on how to increase the size of the list or if I can redirect data from one list into another. It is very urgent. So any help would be appreciated.

    Thanks.

Sharepoint lists can store millions of items. the 5000 item limit is in regard to how many items can be returned in a query and displayed. If the list has 1,000,000 items, the server will not allow an end user to perform a  query that returns over 5000 because this would cause numerous issues. the View settings control how many items are on an individual page in the browser, people typically do not want to wwait for a large number of records to be displayed so SP provides the ability to control this.

    see http://technet.microsoft.com/en-us/library/cc262787.aspx#ListLibrary for the details

Thanks a ton for your timely answer. As far as my project is concerned, we are right now not concerned about the time taken for the records to load in the list view, as we are accessing the list only via InfoPath form. So can we go ahead and increase this to 1,000,000? As you said, we might face some slowness, but that is my only resort to bring all data into one single page, as we are unable to fetch data which is in the second page.

I don't know if this is the same for SharePoint 2010 but in 2007, but you can modify the SharePoint librairy  View to adjust the "Item Limit" and then you will capture all items in your forms connection to it.  Change the "Number of items to display" to up to 2000.  My understanding is a library (whether it be a 'form' library, 'list' library, or 'document' library) can hold up to 2000 items; an "item" being a file or folder so while the maximum number of items in a library is 2000, you can have one 'folder' item with another 2000 items in it thereby getting thousands and thousand of items in a single library. This all applies to SharePoint 2007 so it may be different in 2010.

Keep in mind that changeing the number of items to display in your view to the maximum may cause your page/library to load very slowly.

The problem here, and what I'm concerned about, is that an InfoPath query doesn't follow a view, it follows the list you're querying. So regardless of whether a view is showing only 100 items, if the entire list is 5000+ then my queries to it started failing. How do I query a list looking for something if that list has over 5000 items? This is quickly a growing concern as one of my lists from just the past two months is at 2600+ items now and I cannot delete the finished items due to corporate data retention policies.
