storing repeating table values in SharePoint form library:

I want to store repeating table values is sharepoint form library. I have a repeating table with 3 drop down list and a text field. I concatenated all the values from 3 drop down list in to the text field using the formula: concat(field56, ";", field57, ";", field58). I created a separate text field in the form and trying to set it to store all the values from the text boxes of the repeating table as the user adds new rows to the repeating table. I used the formula: substring(eval(eval(group13, 'concat(field60,";" )'), ".."), 0, string-length(eval(eval(group13, 'concat(field60, ";" )'), ".."))). The problem is, it only adds the first value of the text box, it doesn’t loop around and select the second value. Field60 is the text box field. Can anybody help me fix this?

Hi - to promote your repeating fields, you don't have to use a double eval formula.

Simply promote the repeating field, and select "merge" - see screenshot. As a side note - if your form is not yet in production, you may want to consider giving your fields and groups meaningful names instead of "group13" and "field60".

Hi Hilary, thanks for the reply. I'm sorry, I didn't get the promotion point, i didn't use this property earlier. Can you please elaborate? And yes, this form is still in development and they will have a meaningful name when i get it working and push to testing environment. Thanks for the advice.

When you publish your form to a SharePoint library, you can choose the fields you wish to "promote" or display in the form library. You can also add those under the Form Options (Tools > Form Options in IP 2007, File > Info > Form Options in IP 2010). Does that make sense?

Hi Hilary, i want to know where are the repeating table values stored and in which format. Can these values be retrieved in the same form? Can you please point me to the resource which gives a good understanding of the repeating tables with info path and sharepoint? Thanks

    I'm sorry - I really don't understand the question.

Your form has a data source - visible in the data source task pane. If there are repeating groups in your data source, they can be bound to repeating table controls on your form.

When promoting any data to your SharePoint library, the data gets stored in a column in the library - just like a list column. SharePoint uses SQL for its data - so the value will be in those tables someplace.

Any time your form is submitted to the library, the column gets updated with the current form values.

    Does that help?

    Hi Hilary

if  i merge the values i will get values in bulk  in my column,so when i use this column  in my email,it will bring all the values, i want to format it  properly ,can i create a html table in mail, since i have 5 fields in repeating section and in parallel 5 columns in form library list .Hope you understood my requirement.

For your refernce you can veiw this link https://www.nothingbutsharepoint.com/sites/eusp/Pages/Creating-HTML-Emails-with-SPD-Workflows.aspx

Hilary, Is there a way to make that field searchable? Meaning if you are merging them into a sharepoint column, that column is no longer sort or filterable but when I try to search for something in that field it doesn't show up.

I did find out the as long as the Content type is set to be searchable, then once the search index runs, it will start showing up in searches
