Using Infopath Form to Update a Single field in Custom List

I have been evaluating qRules to assist with the following scenario but have not succeeded thus far. I need to submit an equipment requisiton with a repeating table to a forms library. At the same time, the form needs to update the Quantity column for the specified item/s in a custom equipment stock list (usually multiple itmes). I have tried using the  "SubmitToSharePointList /submit=ShPListSubmit /mapping=mapping /id=my:ID" command after mapping the fields with the Qdabra Infopath to Sharepoint List Tool and using a Web Service DC . The problem is that it creates a new item in the list which can subsequently be edited. However, I need the form to just update an existing entry in the stock list without creating a new item. Is there a way to do this using qRules or otherwise without writing code? I am using IP2010 and Sharepoint 2010 Enterprise.

Any help will be greatly appreciated

To update an existing item, you'd need to populate the field in the form you are using with the ID for the existing item.

qRules returns the ID to the /id parameter, so the new item you've been creating is linked. But if you already have an ID in that field, qRules will attempt to update the list item instead.

So, you may want to use Copy Table to copy your existing items into your form main data source, including the ID, then you can use SubmitToSharePointList to update. Make sense?

Here's another blog that shows how to copy items into a main data source when the schemas differ (uses SharePoint list as the source and InfoPath as a destination).

Hi Ernesto. Thanks for the follow up. The support on this site is brilliant.

I used Hilary's recommendation of the CopyTable command and combined this with the SubmitToSharePointList command and got it to work like a charm to update the inventory list as well as submit to a form library with Infopath filler. However, I have not been successful in getting this work with Infopath Web Service despite publishing as an Administrator approved document. The form submits to form library but the SubmitToSharePointList command does not update the inventory list. It displays no error. Can you comment on whether it should work in Infopath Web Service?

    Hi Lance,

    Thanks for the praise.

Concerning the issue you've encountered, a few things come to mind.

    1. Are you displaying the qRules Error, Result and Success nodes in the view? You mention no error is displayed but I want to make sure you're looking at these fields.

    2.  In the browser form, the controls that use qRules commands need to be set to always Postback.

    3. Are you using InfoPath 2010? Go to Developer > Language > Compatibility, and select Web Browser Form (InfoPath 2007) from the Form type: drop down. qRules uses the InfoPath 2007 Object Model. This means that we need to use the InfoPath 2007 Web Browser form in SharePoint 2010.

    4. When injecting, did you select the Browser or the Client option?

Let's start with that, and if none of these address the issue then we'll dig deeper. Thanks.

Re: Using Infopath Form to Update a Single field in Custom List

    Hi Ernesto

Thanks for the suggestions. I have added the Error, Result and Success nodes to the form. As mentioned previously, when submitting via Infopath filler, the form works perfectly. However, subimitting the form via Infopath Web services (2010), the custom SP list does not update and I get the following error: "An error has occurred executing the rule. Failed to submit to SharePoint. URL = '{0}'."

When I injected the form I selected the "Inject Browser and Client Compatible Features" option.

I set the controls using the qRules to always Postback. This made no difference.

I set the Compatibility in form options to "Web Broweser Form" (Infopath 2007)". I then converted the data connections to Previous Version. I ran a Modify on the affected data connections. I then had to reconfigure several rules as the conversion changed the X path name for the data retreive connection. This excercise caused problems with the data retreive connection as it would not read several columns in the custom SP list correctly and rendered the form unusable. I ended up reverting to a backup of the Infopath form.

Is the fact that I am still using an evaluation copy causing problems?

    Hi Lance,

Thanks for the additional information. The evaluation copy is not the cause of the problem; we include full features in the trial copy.

I'm concerned about the compatibility setting. You mention that you have a version of the form that works in the client; can you check the compatibility settings for that and let us know what it's set to? I'm afraid that if it's set to anything other than Web Browser Form (InfoPath 2007) it will not work in the browser (IPFS).

Also, can you elaborate on what you mean by “converted data connections to previous version”?Thanks.

Under the Form Options - Compatibility, the Form Type is set to "Web Browser Form (Infopath 2007)"

Re: Using Infopath Form to Update a Single field in Custom List

In Infopath 2010 in the Data Connections box, there is a button labeled "Convert to Previous Version" or "Convert to Current Version" depending on the comptibility setting in Form options. Because I had changed the compatibility to Infopath 2007, I then had to also convert the data connections to previous version.

By the way, I also tried creating a new form from scratch Infopath 2007 compitibility mode to eliminate any possible issues with converting the data connectors. I ran into exactly the same problems.

To summarise: In Infopath filler, the form submits to the Forms Library and also updates the Custom List field succesfully.

In Web Services, the form submits to the forms library successfully but does not update the Custom List at all.

It seems to me that the "Submit to Web Service" data connector is just not firing in IP Web services.

Re: Using Infopath Form to Update a Single field in Custom List

I have finally been able to resolve this issue of submitting via web services. With much help and patience from Hiliary and Ernesto, I was able to track the resolution to a registry change as described by Zeroecho at this link: http://www.infopathdev.com/forums/t/7676.aspx?PageIndex=2.

The issue revolved around using load balanced servers. Submitting directly to indivdual front end servers worked but this obviously was not the solution. The IP client would update the SP list successfully but in web services I got the "401 unauthorized" error in the qTools error field and "An error occurred accessing a data source. An entry has been added to the Windows event log of the server. Log ID:5566" when submitting. I used the above resolution in Windows Server 2008 R2, SP 2010 and IP 2010.

Thanks to the team for great support.
