Import Data in one form into another form.

    Hi All,

Im looking at creating a form that is filled in that has a button attached to it that then opens another infopath form and populates 6 fields on the new form with some fields from the original infopath form.

form number 1 is submitted into a sharepoint library first of all and i would like a button that when its submitted into the library i can reopen the form from there and click the button at which it opens a different infopath form with the fields already pre populated so that it can be printed off and sent to the customer with as minimal if not no data entry by the user.

    An example would be...

     1st form is called equipment

     2nd form is called procurement.

i would like 6 fields worth of data from form 1 only single lines of text to be then input into the 2nd form that is opened at the press of a button and is a new form completley.

any help would be great and any questions or more info just ask!

    Hi Garrea,

Go to data connections. Add a secondary data source of type Receive Data and specify XML Document. Browse to Equipment.xml. Specify that you want to access this via the network. After you have added the form to your data connections, you can go to your view and edit properties for your dropdown to populate from that source. You can also drag and drop fields from this secondary data source into your view from the data source taskpane. Change Main Data Source to Equipment and you will see the fields.

    Happy trails,

    thats brilliant thanks for this,

now i dont suppose there is a possbility that i could create a way of selecting through te same form the data that i want to pick so for example

equipment form will be generated by our customers and they go into a document library.

we in my team will then use the second form to print off to the suppliers etc is there a way of selecting what form we want to select the data from by a dropdown thats populated from the document library that then populates the fields as said above?

either something like this or if you have any ideas to make this process simpler as i have a little infopath knowledge but my colleagues dont so want to make it as easier for them to pull information through instead of having to mess with data connections themselves?

    any help would be amazing

so if I understand you correctly, you want to dynamically select the equipment.xml that you load?

easy to do with Qdabra's InfoPath Accelerator Web Service (DBXL) which allows you to pull XML into your form based on field values. you could have a dropdown that populates with the documents and add a rule that fires when one is selected. the rule has an action that queries the web service specifying the correct value.

SharePoint has web services, too, but I don't think they return the schema when queried.

the other option would be to use merge forms and have your team manually select the form to import. you have to add some fields to your main data source that receive the data from the merged form and then you have to define the merge xslt and xsd in the manifest - ImportFiles parameter. but, you should be able to do that relatively simply without code and without any third party apps.

you can purchase an hour or two of consulting time if you'd like one of our MVPs to show you the magic. :)
