    Infopath 2010 and Reusable Workflows

I have performed the following steps in trying to create a Reusable Workflow on a number of from libraries.

    1.       Create a number of site columns.

    2.       Create an InfoPath 2010 form and published this to a form library, promoting the fields to those created above.

    3.       Create a ‘Reusable’ workflow and associated it with ALL content types.

    4.       Add all of the site columns (from point 1), via the ‘Association Columns’ option.

    5.       Published the workflow.

    Everything is working well.

    6.       Create another site column

    7.       Add a field to the form and promote it in exactly the same way as before.

    8.       Add this column via the ‘Association Columns’ option in the workflow.

    9.       Publish the workflow, and I get the following error:

“Some association columns defined in this workflow are no longer valid. This error may occur if the corresponding site columns have been deleted.  To fox the workflow, delete and recreate the affected columns”

Does this mean I can NOT add extra columns after the initial publication of the workflow?

After a number of wasted hours, I have found the solution.

After adding the site column and saving it.  Close SharePoint Designer, before trying to use these columns in a workflow. It is strange however, because the Workflow can see the new column as soon as it is created.  But the error “Some association columns defined in this workflow are no longer valid. This error may occur if the corresponding site columns have been deleted.  To fix the workflow, delete and recreate the affected columns” will continue to display until you close and reopen the designer.

    Hi KerrieJones,

While I wasn't experiencing the same problem you were, I appreciate you outlining the steps to creating a Reusable workflow with Association Columns wired up with an Infopath form. I was having difficulty with a certain area of it and steps 1-5 cleared it up for me!!

I was generating the columns while publishing the form as opposed to your method and as a result certain columns were not accessible.

Anyway, just said I'd say thank you

     All the best,

    Ben

Re: Infopath 2010 and Reusable Workflows

    Hello,

Am I missing something? My scenario is I have Infopath and I promoted two of its fields EmpEmail and MgrEmail when publishing. I need to use these in the reusable workflow. My problem was I was not getting these value in the Workflow.  Now should I create two site columns with same names or different names? I tried creating two site columns with same names and associting them at workflow. But how do we get the data from Infopath EmpEmail data of current item to the site column EmpEmail column? I am still getting the EmpEmail and MgrEmail values blank. Could you please clarify?

    Thanks,

    Tom chaudhry.

Re: Infopath 2010 and Reusable Workflows

    Hi Tom,

How are you promoting the columns? There are 2 ways of doing it that i know in Infopath 2010 of and they offer different options.

    1. File->Form Options->Property Promotion

Originally, I assumed that this was the only method and therefore offered all possible option (Fair assumption I think)... I was wrong. If that's what you were doing too, try the next method

    2. File->Publish->Sharepoint Server->Continue until you get to the section where you can promote columns.

Try adding a column from here and you should be able to associate your Infopath field to a site column

    Hope that helps

    Ben
