Re: New to infopath need help with email submit button

Hi Hilary, tyvm for the fast replies.

From what I read, it sounds easy enough...,however im not even close to being an infopath beginner itself. The first part im fine with now, ive set it up with a dropdown list, where i named the value with the managers names as it would appear on outlook minus the @domain.com. Created the rule from previous where it would send to @doman.com, which seems to be working. I tried your xml, but im not a tech person and didn't understand the process at all...

Second Question, we have over 50 users who will be submitting to 7 managers. I have everyones emails. Now the way this is going to work is, it will be on a shared drive where everyone will have access to it on Outlook, sadly it wont be on sharepoint. So my only choice is to create rules and etc. Now, could you be a bit more specific if possible on your second step? Im not sure how to do that at all or just dont know what that all that means.

Sorry, didn't mean to abandon you!

Is there any information in the form that will let you know what manager should get the email? For example, maybe you have a field called department, and that determines who should get the email... you could have another field in your data source called "Email" and then, when the department is selected, you could add a rule to set the value of the Email field to the correct email address.

Then, in your email submit data connection, you could use the Email field for your "To" field.

Here is an article at Office Online that may also help you.

LOL..., no problem, so the only part i stuck at at the moment is, when the timesheet is disapproved. I want it set up where the user who submitted the form gets a reply back with the comments as to why it was disapproved. Is the second dataform going to help with that?

You'll need to have saved the submitter's email (or username) in a form field. Create an email data connection that uses that user's name as the "To" field. Then, when the manager does whatever action disapproves the time sheet (like setting a field's value or clicking a button), you add a rule that submits the form using that new email connection.

Re: New to infopath need help with email submit button

    Hello,

Once again, thanks very much for the help. I'm still a bit stuck on this, when i go to the To Field, im not sure what formula im supposed to use.
For example as to what we're trying to set it up as, save the form on a shared location, the users save it on their outlook. So they open the form from outlook and submit it through there.

Now, as to the formula, im not sure, but what kind of formula is put in to send the email back to the user who submitted the form if its been disapproved. I've already set it up if it's approved to go to HR, but i still dont know how to set it so it comes back to the users that had it disapproved.

    We have 50-60 users...

Add a field to your form to hold the user name of the person who first opens the form. Have a rule in your form that on open, sets that field to the userName() function if it is blank. That way, your user name field will have the name of the person who opened the form initially. Add an email submit connection. Set the "to" field to the user name field. Have a rule in your form. Set the rule on whatever action marks the form as "disapproved". Set the rule's action to submit. Select the new email connection you created for the submit connection.

Re: New to infopath need help with email submit button

Hi Hilary, I apologize for being a bit slow on this, but im not understanding what youre saying. I've attached an example timesheet, its just a quickie old one, i have my own set up where, whoever submits it goes to their boss, and then i have a manager view which is similar, but has approve or disapprove option. If approved, it goes to hr, if disapproved it goes back to the user who submitted it.

Ive got everything down, except for the user receiving the form back when its disapproved.

I added a new field for the Submitter's user name in the main data source. I added a rule that runs on form open to populate that with the username, if it is blank. I modified the submt connection to submit via rules. I added rules and a couple more email submits to show you what I mean. Hope this helps.

    Hi Hilary,

Thanks for the reply and help, but im not sure where exactly the rule is applying too. Or did you just set up the rule and didnt apply it?

Look under Tools / Form Options and find the Open Rules, if that is what you are talking about. If you are, instead, talking about the Submit rules, you'll want to look in the Submit Options.

Re: New to infopath need help with email submit button

Please look at the Open rules in the sample -- Under Tools/Form Options:

    1. On the Tools menu, click Form Options.
    2. In the Category list, click Open and Save.
    3. Under Open behavior, click Rules.

To see the submit rules, you need to look under the submit options -- you'll see the sample is set to submit via rules and there should be a button you can click to see the rules.

Re: New to infopath need help with email submit button

    Hi Hilary,

I have everything set up now, except for one last problem. When im trying to save the forms on Outlook, it gives error:

    Infopath cannot save the form.
The form definition (.xsf) file specifies that save functionality will be defined in code, but the code does not define an OnSaveRequest event handler

Ive searched around, but cant find an answer to this. I dont have any codes as i dont know how to write codes...Any idea what that message means when trying to save?

Re: New to infopath need help with email submit button

Sounds like you accidentally set the form to save using code. For InfoPath 2007, navigate to Tools / Form Options  and select the Programming section. If you've accidentally added code, you can use the Remove Code button. If you need help, just post your template here and I'll take care of it.
