New to infopath need help with email submit button

I am using infopath 2007, and created a form that users will be submitting anonymously and will go to an email address.  What I need to do is for the form to go to a specific email address based on the location that is selected from the field that has a drop down list.  The drop down list contains locations that were entered manually and that will not change.  Example,  if location selected it xxx email should go to [email protected],  if location selected is aaa then email to go to [email protected].  Right now when someone submits the form it goes to an email address that I manually entered in the submit to email option.  It sounds simple enough but I am really stuck.  Can someone please outline the steps that would be required. Thank you

Try entering a formula in the 'To' field of your email data connection:

    concat(field1, "@domain.etc")

where field1, is your dropdown list.

    Hope that helps!

Re: New to infopath need help with email submit button

I tried that and that looked good, but I need to use a more specific address. Can I add a rule based on a selection made from my drop down list that will send it to a more specific address.

example.  user picks location Vancouver from the drop down list,  email i want it to go to would be [email protected] ,  users picks Burnaby , email goes to [email protected].

    thank you for your help

Do you want to submit form as soon as a dropdown field values changes? - if so, add email submit data connection as a rule to your dropdown..

Re: New to infopath need help with email submit button

I have the email submit button at the bottom of my form so someone who finishes filling out the form will click on that and it should go to the specific address based on the location selected from the drop down list.

Do I need to add a rule on each individual location that I have in my drop down list. Currently I have a rule based on each site.

This is what I have done so far:

    1.  created a new field and named it email

    2.  went to my location field that has the dropdown list and added a new rule based on each locations

    3.  rules-- add --set condition location contains xxxxx, click okay, add action to that rule --set fields value--Field is the new email field I created--value is the email address of the location.

    4.  I modified the email submit button at the bottom of my form : with your suggestion above:  concat(location, "@domain.xxx")

     Are those steps correct?

I modified the drop down list so the email address name (minus the @domain.xxx) is in the value and the display name is the location, eg vaforms would be value and vancouver would be display name the users see when filling out the form.  After the user clciks the submit button at the bottom of the form, it goes into that specific email address([email protected]) to an outlook client and then there is a hidden button when the person opens the email with the form in it,  to go into our sharepoint document library.  When I view the document library and see the submitted form  the location (vancouver) does not show the location name it shows the email address vaforms (minus @domain.xxx) .

    Any suggestions.. Many thanks again..

I want you to add it to the 'To' field of your email data connection.

Can you attach your form template? - I want to see how your email data connection looks.

Re: New to infopath need help with email submit button

    Hello,

I know this is an old post, but i tried this and it worked except for one issue.

For me i have my field name Departments, and created a rule for each department, HOWEVER, when it shows the email its sending to, it does this: [email protected]

So basically it adds the department with the email and which it doesnt work properly then.

I used the same formula, concat(Department <--underlined,"[email protected]), is there a way to seperate the department with the email?

Sorry, your question is not clear to me.. are you trying to email the form to the selected department? Can you attach your form template? - I want to look how the rules are configured....

Re: New to infopath need help with email submit button

Hi , I am trying to email the form to a specific email address for a specific location.  I seem to have another issue now , that when I go to open the form form my sharpoint document libary to view it it tell me the form has been closed.  I think I messed things up by republishing the form to my external side and my internal side.  If i republish the form do I need to do it both externally and internally?  Sorry I am new to this and it is not very clear to me either.

Attached a sample form, I hope that is what you are looking for... look into the email submit data connection, and the button rule.

    Hope that helps!

    Hello,

I like your example except for one problem, we dont have emails for specific departments, for example IT, HR, SALES, MARKETING and so on, i want the email to go to specific people.
Is there a way to do that?

I've submitted a sample one for mine.

For example, choose Human Resources, I need this to go to our Human Resource lady..., but i do not want the name listed under the drop down box.

    Hi:

You need secondary data source that matches your department to the correct email address. See attached updated template. To look at the template, right click the link and Save As to save locally. Then right click the form and select design to open in design mode. I added a data conneciton to and XML file that has dummy email addresses for the groups in your department drop down. Then I modified your email submit to use the correct email based on the selected department.

Hi Hilary, that's what I needed, however, how exactly did you do that? I cant find anywhere where you added the emails to the departments...

Also wondering about something else, on the managers view, is there a way to have it set up where the manager disapproves the timesheet, and an email automatically sends back to the user who submitted instead of manually sending the email?

Re: New to infopath need help with email submit button

If you look at the data source for the form, you'll see a new "Emails" data source. There is a file in the Resource files that has the XML. Basically, I created an XML file with department names and emails. I then created a data connection to the file. I then modified the Email submit data connection to use the email address from the new data connection where the group name was equal to the main form's department node.

As to your second question, you'll need the email address of the person who submitted the form (maybe store it in the main data source of the form). Add a second email submit connection that uses that email as the "To". When the manager disapproves, you can have rules that use that email submit instead of your main submit.
