Submit form showing only checked items

    Greetings everyone,

I am a newbie to InfoPath, so try to be patient with me. I'm working on a form that contains a list of approximately 75 training videos with a check box control beside each one. This is for franchises to select up to five videos at a time to be shipped for their use. I would like for the form to be submitted via email that includes only the checked videos and not all 75. What is the best approach to acheive this?

Here is what the form looks like so far, but not with the complete list of videos. http://i432.photobucket.com/albums/qq43/smithmedia79/LendingLibraryOrder.jpg

    Thanks for your time.

One idea would be to have two sections:

    • The first section displays all the items with a checkbox besides them
    • The second section displays the items that have the checkbox = true. This section is hidden by default.

Have a boolean field called IsEmailing and set it to false by default and to true when the user clicks the email button.

When the person clicks the email button, hide the first section via conditional formatting and unhide the second section, then send the email.

    Good luck!

    Ernesto,

Thanks for your suggestion on this post. I am still a bit unfamiliar with some of these configurations. Would you mind giving some step-by-step instructions on doing this? I'd be very grateful if you could.

Also, on the second section, can I copy and paste the first section with the same fields, or does the fields need to have different names? eg. field1, field2, etc.

    Thanks for your time.

    Hi:

I've attached a sample with the approach I'd take -- much like Ernesto's except I used expression boxes in the second section, so the email is a bit less cluttered (it would just contain a list of titles that are to be ordered, no checkboxes).

To try the sample, right click the link in the heading of the post and save the XSN locally. Then right click the XSN and open in design mode. You can preview from there. My "Email Button" simply toggles the isEmailing field -- you'd want to actually submit via email in those rules.
