Yes more or less.. each list (or application) could have 10-1000 items in each list, each having a certain number of items assigned to a specific manager

So i would just be writing to the list that has all the managers names in it? And do you know what I would be writing in the WF for this to take place? Thanks again for all your help!

The names of the managers are on a separate list .. but I'm just using a people picker to resolve the name in the workflow to send the email. I sort of know what you mean - so there is a way to query the list in the WF to tell if an email was sent out based on the other list? Is that what you mean? I guess I still don't know the ...

Ok I was able to do it in Datasheet view.. when I goto the default view and click the drop down I only have the A on Top / Z on Top and the Clear Filters option.. nothing shows under that.. if I try to goto All Items and click the drop down arrow, I get an error: Cannot show the value of the filter.
