insert optional section with defaulted data/values in fields 17/11

    hi,

does anyone know how to allow for defaulted values/data in fields to show in optional sections? - to display them only when optional sections is selected by users?

Currently i am only able to have optional sections in a form to be displayed by default only. And when optional section is not shown by default - the data/values are also NOT shown for some reason.

Also when the form is exported to sharepoint - i want sharepoint to be able to show ony what the user selects - i.e. if optional section is selected i would like the defaulted data/values to be able to export to sharepoint library as well (currently it doesnt work) and viceversa (when section is Hidden - i.e. NOT selected - i want the defaulted values in the section to be removed/not exported to Sharepoint library).

now, I am only able to have the following functionality enabled "allow users to delete the section" from the form - but the section is included in the form by default rather than users to have the choice of adding in the section if relevant  - and have the choice for users to allow them to keep, or to remove the section ONLY (i.e. keeping or removing the defaulted data/values with the form at the same time).

i hope this makes sense! :)

    thanks

    hi lenka,

i am not able to get your question properly, mind rephrasing it(if you dont get your answers below).

As far as functionality of optional section is concerned.

    1) we can have default value set to fields in optional sections, there value will be available/visible only when the optional section is present on the form.

    2) when we remove the optional section from the form, its value is also removed, i.e it is acatually removed from the form not hidden or any thing like that.

    3) when submitting the form, if the optional form is removed from the form, the promoted field of optional section will appear blank, if the optional section is visible on the form, then the corresponding values will be promoted.(shown in the sharepoint doc lib).

    hi Qazi,

i agree with your point 2. and point 3. but what i'm currently trying to do is

    A. to have Defaulted values in an Optional section so that if user decides if an Optional Section is relevant then the user will be able to see the detaulfed values once selected the Optional Section - currently they dont......, and,

    B. if the optional section is not selected (i.e. stays hidden), the defaulted data within the section currently appears in the sharepoint form after submition. my aim is for the data NOT to be copied on to the sharpoint library...

Hope this clarifies it? thanks Lenka

    hi Lenka,

are you using infopath 2007 or infopath 2003, the above points that i mentioned hold true for inofpath 2007. If you are facing problems, you can attach the form template so that we can look into it

you know what happened, i had infopath 07 installed on my profile in the last couple of days...and now it seems possible...that's weird..

i also tried to be too clever - and tried to add conditional formating on the optional section  - that is to be selected depending on whether the user selects option 1.  (conditional formating to read - HIDE this section if option 1.  is NOT selected) ...and was expecting the values (in the optional section 2. ) not to appear in the sharepoint library... but the defaulted values in that section appear...

but now i can work around it. thanks for your help!

    hi lenka,

you can write rules on options1, to blank out values in the optional section2 and vice versa that should help you

right click on the option1(control) click rules, and set the rules. if you are unable to do that, attach the form, i will do it

i dont know how to attach a document...

in my form there are basically 3 sections (the ideal scenario would be in : section 1 - user ticks the box depending on which area they work in - ie. whether they are ISDA or Commodities user )

then the below two sub-boxes would appear (with defaulted values in them) depending on what was ticked in section 1.

but if nothing is selected in option 1.,no values should export to sharepoint library (which is not the case at the moment)..

one of your optional sections is set to "Include this section in the form by default."

remove that and set it to "Do not Include this section in the form by default."

to do so double click the optional section. and select the proper radio button

i left it there to test the option to "Delete this section" if not relevant for the user. i am just getting too confused. can you just put on an email how can i create the rule?

Re: insert optional section with defaulted data/values in fields 17/11

you know what is so annoying - the only defaulted text that doesnt move accross to sharepoint library (if section is not selected) is TEXT BOX control (and possible RICH TEXT BOX). anything else moves into the library!
that has just not been thought through...
    oh well...
