That was perfect. Now to the next step.

This is a repeating table that contains this drop down list. There will be multiple approvers selected. I need to be able to take the approver name from each iteration of the repeating table and have it populate in a separate hidden field (one for each name) to be used in the workflow later. I am going to guess that I start by using the 'GetValue' along with the [last()] parameter to get the value from the repeating table.

Where I get a little murky on the process is how to tell it to successively fill in the hidden fields so there is one name in each field. I am going to guess that part of it is a condition that says if the previous field is not blank, but at that point I get lost.

Also, it would be ever so helpful if you guys could do 2 things with the Qrules user guide. 1. Include a page # for each command in the contents OR have the first page after the contents be a list of all the available commands. 2. In the command overview, put the commands in alpha order. It is currently very difficult to navigate if you want to look at the information for just one command.

Re: Populate Drop-Down List on Button Click

Hi Bejeweled,

You can do one of the following:

Query your SharePoint list with a filter (qRules FilterOwssvr, SharePoint 2010 REST, or DBXL QuerySharePoint are three ways to do this)
This technique is best practice for large lists since the filter is done on the server.

Get all items from SharePoint list and filter in the form
Simple and effective if your approver's list is less than a few hundred people.

So, I'll assume you can do #2 for starters.

Your approver's dropdown should be tied to the SharePoint List data connection. You don't need to use a button for #2 (that's more of a #1 option).

As your form is filled out, the total cost is changing. I'm assuming you have a field for total cost in the main data source with a default value equal to the sum of the line items.

In the dropdown for the approvers, just click on filter and set up two conditions in that filter dialog. One says that the Approval Minimum is less than the total cost field *and* the other says the Approval Maximum is greater than the total cost field.

That should be all that's required. If you have more than a few hundred approvers, check out the qRules documentation for FilterOwssvr. I know you have a copy of qRules, and that should be faster than REST. DBXL QuerySharePoint is fastest for really large lists (more than 1000 rows)

Go forth and conquer!

Populate Drop-Down List on Button Click

I have a form where I need to populate a list of approvers based on their approval $ range. I found this: http://www.infopathdev.com/forums/p/14715/52306.aspx but it doesn't go far enough in answering my question.

In the InfoPath form I have a repeating table that will be filled out with part information that includes Quantity, Unit Price(Currency Field), Extended Price(Currency Field) and Total(Currency Field). This section is working properly. This information will never be static, each form will be different. What I need to accomplish is for the initiator of the form to click a button to retrieve a list of approvers who have the $ range to approve the total cost of the items on the form.

Exists: SharePoint List with Approver Name, Approval Minimum (Currency) field and Approval Maximum (Currency) field
Exists: drop-down list to be populated with the approvers (Filter on field populated by button query)
Exists: button to query the SharePoint list with the correct math operations to (Filter equals strTotal>Approval Minimum AND strTotal

What additional fields and logic do I need to create the filter that the Approvers list will use to populate correctly?
