Preserve forms as PDF from decommissioned InfoPath 2010 solution?

12 years of service... But now it's time to decommission the SharePoint 2010, InfoPath 2010, Microsoft Workflow - service. However the filled in forms needs to be preserved for archive purposes. What is the best solution? I had an idea but someone must have something better that don't require me to write a lot of PowerShell scripts? My idea however was to loop through the SharePoint list and: 1. Handle each InfoPath form by exporting all attachments, adding file name and meta keywords in some csv file. 2. Loop through the forms on disk and convert to Word and then to PDF... 3. Place them in a secure server and allow the managers to search the database imported csv form-meta keywords through the new web interface How about that? = ) Anyone know of some existing solution? User with multiple roles cannot sign as final approver

I'm trying to get the functionality of the form to allow the Training Admin to be able to close out the InfoPath form because the supervisor is no longer available. Supervisors have role of First and/or Secondary Supervisor, assigned via SharePoint list "Manage Supervisors". Supervisors can sign to approve the initial training request and also approve when training is complete. User in question (Training Admin) also has roles of "First Supervisor" and "Second Supervisor," assigned via SharePoint list "Manage Supervisors". User also has roles of "Training Officer" and Training "Admin", assigned via second SharePoint list titled "Manage Roles". The user can digitally sign as a First and Second Supervisor as well as the Training Officer for the respective responsibilities. InfoPath Form Process Flow: * Supervisors can sign to approve the initial training request. * Training Officer approves initial training request, after supervisor has approved * Form goes to Budget Officer, they digitally sign (Budget Officer role is assigned via the "Manage Roles" SharePoint list) **Upon completion of training, the First and Second Supervisor can digitally sign the form, but the user in question, cannot digitally sign the form. I believe this is by design. I need the Training Admin to be able to sign/close out the form in addition to the First and Second Supervisors. (Some supervisors are no longer available and the forms have to be closed). Signed InfoPath to Email

I have employees signing and then submitting the signed form via email to me. However, I requested that the form be shown in the body of the email once its signed but it doesnt show the signatures. Is there a setting to have the signed form be sent to me once it is submitted? I am a beginner user of infopath.

If someone submits a form and incorrectly puts the name of the approving manager in the people picker, which triggers an approval workflow when it's been submitted, if the person wants to change the form so that a new approving manager will get the approval task, how is this accomplished without submitting a new form? We keep telling people that the forms cannot be changed once they are submitted, but ask often enough that this is becoming an issue. I found out you CAN put more than 1 person in the people picker, but only the first person listed will get the approval task. Thanks.

How to turn off "Claim Authentication" - User ID display problem

When I call the value of the person's username by entering the username() function into a field, it shows as: i:0#.w|bcldb\dwsmith I'd like to be able to hide everything up to the beginning of the user ID, "dwsmith", or truncate the first 13 characters, so only the 8-character user ID shows. This one is only 7 characters but if the user's ID has 8 characters, that's what should show. Is it possible to turn off Claim Authentication so that only the user ID shows? Dan

Mandatory vs Non-Mandatory field

On our form we have integrated several forms that used to be separate, now all on one form that appear when you select the form from a drop-down list. All of the integrated forms except for one requires a manager approval, a required field, or you cannot submit the form. One of the forms is for Vehicle Registration which does not require a manager's approval. We have a problem now because when someone selects the form to register a vehicle, they have to put a Manager's name in this field before they can submit the form. Some managers are complaining to us that they need to approve Vehicle Registrations and we want to fix this asap. Can we make the vehicle registration form NOT require a manager's approval if the Vehicle Registration form is selected, like somehow mark that field as non-mandatory when that option is selected or do I have to create another separate form?

Cannot show Created By or Submitted by on form

After a person submits a form, how can I show the 'Created by' or 'Submitted by' on the form? I tried adding the Submitted by field but it is blank when the form is submitted. I can see the 'Created by' column in my document library with the name of the person who created the form, but I can't get this name to show up on the form itself. Is this possible? Thanks.

Problem with validation rules

In my form, if someone selects "Termination" as the Reason, I want the "End Date" to become required. As soon as I set the rule to make that field a required field, no one can enter a form even if they put an end date in that field. It gets a dashed red line around the box, indicating that the field requires a value, even though there's a value in there, and the user cannot submit the form. Any ideas? I have to add that it works just fine as intended in Preview Mode. For some reason, all of my validation rules are acting like this now, and before it was fine. Thanks.

Appending Changes to existing text field in SharePoint

Hi, I have a SharePoint list set up with 'Versioning' turned on. In this list, I have one field that is set to 'Append changes to Existing Text' turned on called 'Next Steps'. Here is my issue... If a user edits an existing case using an Infopath form and does NOT update/type into the 'Next Steps' field, SharePoint will create a NEW VERISON of the case but the 'Next Steps' will not be blank in an Excel Export. How do I get the most updated notes from the 'Next Steps' field in my exports?

How do I add "Submitted Date" column in a SharePoint document library?

It's been a very long time since I had to add a "Submitted Date" column in a SharePoint library from an Infopath form. Can someone remind me how this is done? I can see it in other forms I've created but I can't remember where it comes from or how I got it there. :/ This is a good field to have because you can 'hide' the "Submit" button if you don't want anyone to re-submit your forms, based on when the form was submitted using the following formula:

if submitteddate is less than now(), hide this control

Hi, I have created a new form, it's quite busy with many sections and many things that happen using Rules (like hiding of sections if something is "False", etc.). Upon adding a new section today, I started getting Design Checker errors saying "Invalid form template error", and when I click on that, the message "Invalid or malicious HTML was found in view " (my page name). Now I can't open the form in a browser like I could 3 hours ago! I'm not sure what I did, and I've spent the last 3 hours trying to fix it, but not sure how to do so. In the Form Options/Security and Trust, it is set to "Auto", Compatibility is set to "Web browser Form (InfoPath 2010)", and just something that recently appeared in that page, "http://headofficexxxx.xxxxxx.com/Corporate/libraryname/_vti_bin/FormsServices.asmx", and I'm not sure where that came from. I tried taking it out, but it keeps re-appearing by itself. Could this be the cause? We are just about to migrate to this new form after many years of using a previous form, and now we can't because we are getting these error messages, and I have no way of fixing it because I don't totally know what the problem is or why I'm getting the errors. The error message is very obscure and doesn't tell you where the exact error lies. There is nothing else wrong with the form, except that it's saying "Merged print views are not supported" under the Invalid Form Template message in the Design Checker. I need help please, I can't figure this out on my own. My team thinks I'm the "form wiz", and if I can't get this working again I'm going to have to spend countless hours reprogramming the entire form from scratch. Thank you.

Send form directly with Outlook

Hi In the past I used with Infopath 2010 32bit & Outlook 2010 32bit - Everything worked properly. Now I work with infopath2010 32bit & Outlook 2016 32bit. The problem I am having is sending a form directly to email. The form gets stuck. The form is the same in both cases. Anyone know the reason?

Add SharePoint ID to Infopath Form

Hi, I have a SharePoint list that I use an Infopath form. This is a intake form for users on my team to submit request from. In the set up of my Form, users will fill out the form, hit submit. The form will switch to a 'New Ticket' view that displays some of the fields that were entered on the original form. The 'New Ticket' view actually on an email submit, so the user gets a copy of this form via email. Here is my thing, they want me to add the 'ID' that is generated via SharePoint. How do I add that to the form. I tried just adding the ID field to the form, but nothing returns in that field.

Custom Pattern Validation Rule - Unable to use Apostrophes?

Hi Everyone, I'm having a problem with a validation rule that we're using on text fields that we're using for email entry on some forms. We're using the following custom pattern to try and ensure people are entering emails in a standard format, if they don't they get the usual red outline/advisory text on the field: [a-zA-Z0-9._%+\-]+@[a-zA-Z0-9.\-]+\.[a-zA-Z]{2,4} The issue we have is this rule can't handle form users who have an apostrophe in their name, they'll get the invalid email text etc. I have tried to add an apostrophe in here but it always shows as an 'Invalid pattern' on the 'Data Entry Pattern' window; there's also no option for apostrophes in the 'Insert a special character' drop-down on the same window. I assume this is because an apostrophe may be some sort of reserved character in InfoPath, is there any way around this without resorting to code etc? Thank you.

People Picker Field

Hi! I'm using SharePoint 2013 and InfoPath. After years of working the correct way, now if I fill in the people picker in 'edit' mode in SharePoint and 'stop editing'... the picker people field in SharePoint returns the users name... but in the InfoPath form, the same people picker field is showing up blank. It is causing some downstream issues. Have you ever heard of this happening. If so, how can I fix this?

generate an error if a field value is not identical to another

So basically i have a form in Infopth 2013 where the user input details as follow:

Bank name 1 = A

Commission 1 = 300

Bank Name 2 = B

Commission 2 = 200

Bank Name 3 - C

Commission500 3 = 150

Total Value = 650 (the user must type this value )

Total Amount = (auto populated based on a formula)

requirement : if the user type for example the amount of 500 in the field (Total value), the field Total Value & Total Amount are not identical, so the form should display error (Value not identical) .

in other words, the two fields value must be the same (Total Value and Total Amount).

Hide Section Formatting based on Check Boxes

Hi, I have a SharePoint list that is connected to InfoPath. Here is what my dilemma/question.... I have a check box that has 3 choices [Yes,No,Other]. I have a text box in an infopath 'Section'. I only want that text box section to show if the 'Other' checkbox in ticked. Keep in mind that there can be mulitple choices. While setting the rule in infopath, I tried --if the check box field <> 'Other' then Hide Section. That doesn't work. Any suggestions? Or... is there a way to use a text box field as a calculated field in infopath, that returns each choice that is ticked?

Display List Choice Definitions via InfoPath Form in SharePoint

Is there a way to display a list of choices along with definitions in something like a 'mouse over', tool tip, or hyperlink. I would only want something like a dialogue box that pops up and goes way as soon as the reviewer moves away from that particular section.

Repeating and Non-Repeating Sections and Fields from a SharePoint List

Hi all, today I have decided to play with repeating sections. My goal is to create a form where a user can request multiple virtual machines to be built in VMWare. I would like to create a SharePoint List form with 3 sections. The first section is customer details such as name, department, cost centres etc. (the usual admin stuff). The second section which is going to be my repeating section will have information such as Virtual Machine name, no of vCPUs, vRAM etc. And finally the last section will be for the tech department to assign an IP Address, Domain Name etc. which will be hidden using another form view. As I am integrating with MS Orchestrator which monitors the SharePoint List, I need each Virtual Machine Request from the repeating section to be created as an additional record in the SharePoint List (containing all data on the form obviously). MS Orchestrator then collects the data from the list for each virtual machine and runs scripts to start deployment.

So.. I have created a list and created a new Blank Form in InfoPath and assigned a data connection to my SharePoint Server and List. My issue is every field I drag across from my field list in InfoPath creates a repeating section with that control. What I would like to do is have fields/controls in my first and last section non-repeating, but I am struggling. I know this might be a newbie question but I am a newbie.

Is this possible to achieve?

I'm getting an error when trying to build an expression on one of my fields in a form. I'm trying to get the duration of days between two dates. The expression is below and it seems to be pointing at the number 2 at the end of the expression.

Authorized User Section

Hi, To start off, I only have SharePoint OTB (no workflow access) and InfoPath. I have a custom list in SharePoint that uses an InfoPath form. I have my form all built out... but here is my issue. At the bottom of my form, I have an 'Authorized User Section' for only managers to use. In this section, there is only a People Picker for the manager to put their ID and two radio buttons. In addition, I added a single line of text field that has this formula substring-after(AccountId, "\"). This formula pulls the actually UserID from the string so thats I all I see in the field. I do NOT show this field in my form for users to see. But my question is... I'm trying to put a Rule on the radio buttons for user verification. Meaning, I know for a fact I have 3 Managers. When one of those managers put their UID in the People Picker and my UserID text box returns "U68738".. I want to put a validation rule on my radio button to say if the UserID field does not have one of the three managers ID, then make it an Error (Red). I can put one userID in the Rules if statement, but the next 'Or' piece will not work.

SOAP Error

Hey, I'm trying to publish an infopath form to a SharePoint custom list. There is the error I get from Infopath when I try to publish... 'The SOAP response indicates that an error occurred on the server: Server was unable to process request. ---> Object reference not set to an instance of an object. ' Please help.
