Making changes to a form - how it impacts older forms uploaded to a different SharePoint library

    Hi all,

Sorry, I hope that this makes sense - it's a bit of a weird problem, but I'm hoping someone has a solution...

I have a form that I admit was poorly scoped before I built it. It was a rushed job, and new requirements now keep getting added to the form.

Since the form is already in production, I've been using a 'test' library to test out my changes (a button with a data connection to a hidden library). While I've been doing that, people have been using the 'draft' button (which has a data connection to a non-hidden library)

I got the form working as I wanted it to in the hidden library, but when I tried to switch the 'Publish form to a SharePoint Library' back to the public library, it wouldn't work. As a quick fix I replaced that library with the one I was using for test, then I renamed the library so it would have a more suitable name (being in production and all :))

My problem is now this: The changes I've made to the form WILL work on any newly created form. The changes will NOT work on previously created forms. They're essentially the same form, the only difference is that I've added a print view.

I believe that the changes would apply across the previously created forms if I could only publish the form to the old SharePoint library, but when I attempt to make the change to the old library I'm getting this wonderfully helpful error: "Cannot update library or list".

I'd gotten this error before, and I worked around it by removing some of my promoted fields (it's a big form). But I don't think that's the issue in this case - I think it's the changes I've made.

So... anyone had something similar or know a solution? Deeply appreciate all and any advice :) At the moment I'm thinking of just starting the darn thing over again...*sigh*

Hi TabyKitten and welcome to our little forum!

You probably just need to relink the data. Since the old forms are still pointing at the old library they will load the old XSN. SharePoint 2010 provides a relink view under Views on the Ribbon. Try relinking one form (check it and click the relink button) and see if that solves the problem. If it does, you can make the same change to the others. If you have thousands of forms to relink and can't figure out how to do it in SharePoint, you can export them using File Explorer and use Qdabra's Modify PI Tool to relink them all and then upload them, but my recollection is that ShP 2010 will allow you to relink hundreds at a time so hopefully you don't need that.

    So that's your workaround.

To publish over the existing library... I'm not sure why that is failing. You may want to check your SharePoint error logs. Maybe you have removed your write access to it or something. Would need to look into that, but the new library is definitely a good workaround, just remember to relink the old forms.
