Newbie question: How is publishing not the same as file transfer?

    Greetings,

I am new to InfoPath 2007, but I keep hearing that it is the de-facto way to build electronic forms.

To get up to speed, I went through the learning programs at Lynda.com, but I still have a few questions about Publishing.

So, please help me understand here.  How is publishing to a network location any different than simply copying or file transfering the document to a network location.  So if I have a completed .xsn form that I want users to fill out,  why do I need to "Publish" the form at all?  Can't I just get users to use the saved form?

    Please advise.

    Hi:

    From Office Online:

Publishing a form template is not the same as saving a form template. When a form template is saved, you are saving it to preserve your work, just as you do when you save a file on your computer. The publishing process modifies the form template for distribution by adding the publish location and processing instructions sections so that users can open forms that are based on this form template. The processing instructions allow forms that are based on this form template to be automatically updated if you make changes to the form template after publishing it.

If you open the XML from a form in a text editor, you'll the processing instructions at the top of the XML that point to the location of the template. The XML will always open with the template in the location in the processing instructions, allowing you to update or change the template later - all existing XML will then use your new template. Of course, that's why you don't want to go deleting or moving nodes around in a production template - if the template is set to upgrade existing XML and you open your old XML with the new template, you may lose data.
