Submit field to multiple records in Microsoft Access Database

     Hello All,

I am very new to Infopath 2007.

I created a transmittal form that employees fill out via email and submit via email.  When the form is submitted I get an email of the form (which I print and sign) and each row in the repeating table is sent to Microsoft Access creating a new record for each row in the table.  This is great and exactly what I wanted.  Now here's where I need the help.  There is information such as Project number, Recipient etc... that is not in the repeating table but I want the information to be added to each record in Access when the form is submitted.  For the purpose of the form it is only necessary to enter this type of information once but I want to track each item on the transmittal individually.  Currently when I submit the form and review the data records in Access only the first record entry in Access has the Project#, Recipient etc...  How do I tell Infopath to copy certain fields to each record entry created in Access by the repeating table?

Hopefully I explained my situation clearly, if not let me know and I'll try to explain it better.

Create the fields inside the repeating table as well. You'll have to give them different names of course.

Set the default value of these fields = to the matching field outside the repeating group and tell it to 'update whenever the value of this formula changes'. Don't display the new fields to the user.

When they fill in the fields outside the repeating group, the value will auto copy to each record inside the repeating group.

Thanks Skarn, I think you are leading me down the correct path but I didn't get this to work and I'm sure it's totally my fault because I'm new to the program but here are a few questions to help me clear up what I may be missing.

    When you say:

"Create the fields inside the repeating table as well". Do you mean insert the same control in a new column in the repeating table?  When I do this and hover the mouse over the control it says "@controlname (control stores duplicate data)".  Is this correct?

"Set the default value of these fields = to the matching field outside the repeating group..."  How is this formula supposed to look?  I don't think I'm doing it right.  When I test the form the first row in the repeating table shows the information but when I create new rows the information does not auto copy into the new rows.

"Don't display the new fields to the user". How do I do this?

    Thanks!

Hi infoNewbie - sorry for the late reply - not sure if this is still causing an issue for you.

Let's say your Access database table columns are: project # and project Member. In this example, there can be many project Members for each project# e.g.

    Project #       Member
    1                  Bob
    1                  Mary
    1                  Jane
    2                  Mary
    2                  Jane

The users are completing an Info path form to populate this table and specify the members for a particular Project #
You want them just to enter the project # once:
    Project #: 1
    Names: Bob
                Mary
                Jane

Have a look at the attached Info path form template - it's not linked to Microsoft Access database, but demonstrates how you can populate a repeating table with a value in all rows from an external field the user fills in.
