    Importing from Outlook

I may have missed it, but I am looking for a way to automatically generate a form from an email when it enters a shared folder in Outlook. The goal is to track all emails through a database for work flow tracking purposes. Basically, the request states:

       1. Email into folder #1; free text

       2. Infopath generated form collects information from the Email (sender, subject, date, etc) and generates a basic form

       3. The form forwards to folder #2 where it can be tracked more accurately and workflow is easily monitored

Currently we are not using Sharepoint.

So far I am not sure if this can even be done, and I wonder if setting up a basic forward in the folder to shuttle all mail to folder #2 wouldn't be easier.  I figure it can be plan B.

I have a very basic understanding of code, so if there is a way to do it without getting too into writing just code for it, that would be preferable.  If the only way is through writing out the code for it, I am game to attempt that but it honestly is not my first choice.

Thank you for any help you can give!!

    Hi Andonia,

You could do this on the Exchange server if you have access to the development platform. That would be a solution for the entire org, but would require a small amount of code.

If you're looking for a solution for a standalone laptop that has both Outlook and InfoPath installed, I recommend using a VBA macro that launches. We've done this before to automatically create InfoPath forms from email. We have the code and can share it with you but will need to charge an hour of consulting time to describe what it does. It's ~20 lines of code. Try Google'ing VBA Outlook macros and you could probably spend 1-2 hours investigating, or you could just send us a small donation. We don't have time to spend an hour responding to every post since we have to keep the business profitable too... thanks for your understanding.

Send me email if you need help,

    Hi Patrick,

I don't have access to our Exchange server, but I can work with someone in our IT department who does.  I'll propose this to her and see where we can go from there.

I understand you can't spend an hour on each post...there aren't enough hours in the day, regardless of all the other reasons!  Every little bit helps, and you gave me enough information I have a good place to start.

Thank you so much for your reply!
