User Roles - How exactly do they work?

I am new to Infopath but I think I've managed to find my way fairly well so far however I seem to have run into a problem. I have an Infopath form with multiple views that is published to a Sharepoint site and I want to be able to lock certain fields depending on the user (or group).

After poking around a bit I thought I found my solution. I created a User Role that was linked to an AD Group and set conditional formating on the the drop down list to say if the user role = [user role I created] then disable the control. My logic would be that is someone opened up the form and happened to be a part of the AD Group that made up the user role then they would not be able to modify the control however I have not had any luck so far. I even tried it with just 1 user thinking it might be a problem with the group but that doesn't work either. Is there something I need to do to activate User Roles or have someone use a User Role when they open the form?

     Any help is appreciated. Thanks.

I think you have added only one user role and the form will be defaulted to that role for all users. In this case the condition you have put on that field may always fail or always suceeded.

To solve this problem add one more user role and default the form to that user role.

Ok...I seem to have spoken to soon. Now its blocking the field for everyone. Here is my example:

     I have 2 users roles:

    • default (which is set to default)
    • production (which is made up of the AD group called Production)

One of the drop downs on my form has conditional formating that says if field1 = variable1 AND user role is NOT EQUAL to production then disable the field. My issue is that as long as field1 = variable1 it disables the field, even if the user belongs to the Production AD group.

Do I have this setup wrong?

i could be a factor of things.  If you are typing into field1 then you will have to click off or lose focus  on that field for the control to work.  If you are doing that, I would put a rule that says if Field1 is blank...disable drop down.

also try adding another rule that says user role is not equal to production....disable drop down.  leave the original rule also.  That should help.  But in theory what you have should work fine.

Also check on the lower right hand corner for what role the user is actually viewing the form as.  Roles in infopath could be a robust tool, but lack in some reguards.  For example overlapping users in both user groups.  They are read top down when assigning the role the current user gets.
