Repeating Fields on Sharepoint Web Forms

Hi all... hope someone could provide some guidance.

I'm attempting to collect a skills assessment via a web-fillable InfoPath form. The initial view will be completed by specific folks within our organization. High level information (text, some drop-down data) and a list of skills via a check box of information. User is to check a box next to each skills for each employee within their team.

On another view, I'd like to take a few of these fields to display static text then have the option of selecting an employee via a drop-down and displaying all the information that was in the form about that employee. I'd also like the ability to add/remove skillset/checkboxes they may/may not have. then for each check box, I plan on displaying an optional section of information to drill down for more specific information.

    For example, View-1 would have:
    Manager Name (person completing form)
    Team
    * Repeating Section *
    Employee Name (txt field)
    Skillset (each separate checkboxes)
    communication
    leadership
    project management

View-2 would allow the user to review the selections made by simply selecting the Employee name from a drop-down and all checkboxes automatically checked/not-checked according to existing data. then, based on whether or not a skillset checkbox is checked, unhide a section with additional information (chkboxes).

I have the forms created, field created to select the Employee Name, but, I'm having trouble relating the proper checkboxes to the proper employee selected. This seems somewhat more difficult than it should be because I am working with WebForms - not straight InfoPath 2013 Designer / Filler.

Any push in the right direction would be appreciated.

    thanks!

    Hi Kerry,

This will work fine in InfoPath browser forms. I assume that's what you mean when you say "web forms".

Are your checkboxes embedded in the same sections or repeating sections as your employees?

You may need to do some filtering to specify the employee correctly. You may also need to copy data into other repeating sections.

All possible and doable. Can you attach your form and describe it more so we can take a quick look?

Patrick - That would be great....I appreciate the assistance.

    I've attached the form.

A little more detail for you:
Team leads would complete the basic form - View 1 (default) and submit (function not completed yet).
Another team would receive the form, switch views - PMO Team Only - and add additional data. I'd like individual to be able to select a team member from the list, the checkboxes show what was previously selected (from other view) and provide the user the ability to 1) modify [check or uncheck] these boxes and 2) for those that are checked, a hidden section be shown that drills down on each of the specific skills. This last feature is not yet built into the form, but, should not be difficult with a simple rule.

I'm having more trouble trying to keep records together and show the properties appropriately for that record.

    Thanks again for your help!

    Hi Kerry,

Thank you for sending over your template. To my understanding, the form needs to query the list of team members. I would recommend using CAML or qRules in order to map and aggregate the form in the library to a SharePoint List (we have previously discussed CAML on one of our webinars - here ). The reason for this is to have a dedicated list selection for the drop-down field. However, I created a temporary connection which uses the same principle in order to query the names (please see attached form page PMO Team Only 2. I've also added a couple of other things to the form which you could use for your reference). Note that it is only a temporary connection for querying the team members, you will also notice that after selecting, the drop-down selection needs to re-query data by setting the selection to blank (which is why a dedicated list is much better). Once you have created a separate/dedicated SharePoint list for the team members, you may re-direct the connection for the drop-down list.

To query the check boxes, please check the drop-down list box rules. Here, we have filtered (Filter Query rule) the queried secondary data using ID as the value (for a more detailed explanation on querying, please check this webinar).

To modify the check boxes, simply set the value of the traget check boxes using the query check boxes. After setting those values, we would need to have an update button which submits the data to SharePoint. There was a small issue with submitting the form since it needed to overwrite the exact name of the form at the Library. In order to proceed, we would need to set the values of the fields included in the SharePoint Library Submit. For the date, I had to use a formula substring(SHAREPOINTDATEFIELD,1,10) , so that the value being submitted will not contain the time which was included in the query. Please see Query Field Values rule at the drop-down list for that.

For the hidden texts which display the description for each specific skill, use a calculated value box which hides on that condition that the check box has a value of false or the check box is blank.

I went ahead and tested three fields for data modifying and for the hidden section. If you decide to check the attached form's query functionalities, be sure to tick the auto adjust connections when publishing, and re-update the query data connection. Hope this helps.

Wow - thank you very much! I'll try to absorb all this information now and let you guys know if I have any follow up questions. This is great - I did not expect such a complete solution!
