Auto populate Form fields (InfoPath 2010) with data from an email link

I'm on InfoPath and SPT 2010.

I have a form which I published to SPT and the load time for the form to actually show up is over a minute. The Form seems to be holding up when it queries a SPT list. I'm asking it to get 4 fields from this list... one of which is the ID from a ticket. I've seen some things around regarding code but I am not a coder. Don't even know where to start.

As an alternative, I am considering trying to pass data from the email directly into the fields. I've tried the URL route using the following:

    Hi RoccoNH1 and welcome,

No need to code. Check your list size. If there are >100 rows, you should add a filter.

First, go into the data connections and click modify on your query data connection and make sure to uncheck the option "Automatically retrieve data when the form is opened."

Second, add a form load rule that has two actions: sets the value of the query parameter in the secondary data source (this adds a filter), and then queries the data connection.

You will set the query parameter equal to a value to filter the list. If you are not sure what to filter on, look at the list columns and find one that you can use to reduce the size of items returned. Make sure the column is included in the columns to be returned for the data connection.

The filter query is an exact match. If you want to do a "contains" match, I recommend looking into REST connection or filterowssvr.

Bottom line: assuming it's taking a lot of time as a result of the query, you'll need to change from default query to on load rule-action and add an action before to filter to reduce the amount of results returned.

    Hi Patrick,

Yes, the secondary data source I am querying has >1000 ID#'s in the list.

So I have the form rule set...What do I set the value to... just any number where I want the query to start at? Since the current highest number in our HD ticket system is 1400 I'll start there?

Do I perform this filter for each list column I am bringing over or only "ID"?

As always....Thank you. I've actually been here for a few years but only started becoming more active with my new role...heavy on InfoPath and SharePoint...I was using 2003, but now we are on 2010 and I'm all messed up so I'm sure I'll have more questions.

Well, I would not set ID unless you know exactly which one you want. You should have other fields in the query data group. Set those to values that will reduce the amount returned.

Re: Auto populate Form fields (InfoPath 2010) with data from an email link

    Hi Patrick.

Thank you.  This is kind of a weird one... I have this secondary data source (HDTicket_Fields) and the following fields selected:

    - ID (*Decending)
    - User (*person field)
    - Category (*Project, Issue, etc)
    - Status (*open, closed, In Process, etc.)

So the the ID I speak of is not the SharePoint ID, It is this unique ticket# of the HD generating list. I think there is a problem with the list because it still does not work. I've done this a hundred times before... the other data connections are working fine. I'm looking at a SharePoint list of Unique ID's and all I want to do is grab the ID but only when the User (Account ID) from the secondary source is equal to the Requestor Email "Account ID." Once I put in another parameter in the filter, Only when the "Status" contains "Open" (which is a selection) I get no returns, and I see clearly in the list there are Open requests from me as an example.

I've tried this with other lists I generated as a test and it works fine so I know what I'm doing works and the logic is correct but it seems like it is just this list (a third party solution).

I'll figure it out eventually... I just don't know why its doing that. In the interest of time, we are unfortunately going with manaually copy/paste the HD data Fields in until I can figure out what the heck is going on.

I appreciate your help and advice.

    Regards,

    Rocco

Glad to hear it's just a third party solution smack down. :)
