New version of form created new columns in Sharepoint list

I have a form that has multiple property promotions that created the appropriate columns in the sharepoint list.  I am using the form as a content type.

Now i've made a few changes to the form and versioned it up.  Didn't change any of the columns that are promoted. But when I added the new content type to the site and set it up in the library it made new columns for the promoted properties.  This is a problem as we have the original columns populated and don't want to lose anything but can't have duplicate columns on the website.

Can I get these 2 columns combined or figure out how to make them the same ?

     Hello,

I am trying to reproduce your problem by following

     having changed names

    • but for the sake of this discussion let's speak as if they are the same, as in article)
and added field promotions trying to understand what are you describing and how to reproduce it

Let speak in terms of this article.
It has 2 site template forms published as content types:

This 2 form templates are added as 2 content type to form library.
The latter is not named in the article but I called it Alfafara (BTW, nice name).

In this form library Alfafara "list"

    • (plz, restrain from using this term since it confuses with sharepoint lists and sharepoint list forms terms, really it says in heading "Team site > Alfafara > All Documents",
probably should have said "All Forms" for form library )

    I do not see:

    • any columns appearing from content type(s) form template
    • this form library is not published
    • and, respectively, there are no columns to promote

    I also could not grasp

    • "multiple property promotions that created the appropriate columns in the sharepoint list"
Do you mean under "sharepoint list" the form library Alfafara?
Or you are publishing the form as Sharepoint List Form ?

In order to understand and reproduce your situation, could you, please, describe step-by-step, using terms of mentioned article, what you have been doing ?

Even if you have resolved your issue, I would appreciate your time since I see a lot of similar questions and I cannot guess how to interpret/reproduce/understand them

Re: New version of form created new columns in Sharepoint list

This article you reference is not the same issue that I am having.  I have:

1 form created - say version 1. In which I have property promotion on several of the fields in Infopath.  When I published that form as the site content type and then add that site content type to a library it allows those fields to be part of the sharepoint library and display.  That all works great.

Now, I needed to make a couple minor changes on the form - nothing that affected the property promotions already established.  When I published the form, version 2, as a new site content type it created a 2nd listing of the promoted property fields, which means that the display columns from the version 1 form and the display columns from the version 2 form are not the same.

Since I didn't change the property promotion fields when I changed the form I need to figure out how to get these to sych back up so I only have to display 1 of the columns in my sharepoint list.

Is there any particular reason why you are using content type vs just a form library?

Also, are you using Sharepoint 2003/07/10?

No particular reason for content type, but since it's already established I don't want to change that.

Sharepoint 2007 is what is creating you problem.

    http://blogs.msdn.com/b/martinkearn/archive/2006/03/27/561809.aspx

This blog explains what is happenning about halfway down the page.  I will summarize what it says.

With content types, every new content type is treated as a new item, with its own columns and its own templates.
So what is happeneing to your is that even though they are nearly the same template, using the same names for columns, they are really two seperate templates.
Ex: Template one is NewFormV1 and template two is NewFormV2.
NewFormV1 has 2 columns, name and date
NewFormV2 has 3 columns, name, date, age

NewFormV1's columns belong to NewFormV1, they cannot be shared.
    The same for NewFormV2.

So everytime someone does new on NewFormV2, it will only populate NewFormV2's columns.

    Does this make sense?

Content types are great is some ways, but not so great in others.
You have stumbled on one of the others.

Re: New version of form created new columns in Sharepoint list

That's not exactly right.  Because I have revisioned many other forms and the content types are always added onto the original promoted columns.  I've attached an example of one that is working properly.

Every time I revision up the form it adds to that form content to the existing library lists.  And yes, these forms are also site content types.

    Trush,

Can you post of screen of the problem you are having.

How did you create the content types last time?  From sharepoint or from InfoPath?

Re: New version of form created new columns in Sharepoint list

content types are created when publishing the infopath form to the sharepoint site.  I have always done it this way.

As you can see in the example I uploaded.  I had revisioned this form a couple times.  However, when I revisioned up to version 5 it created almost all new columns in the site content.  And nothing was changed on the property promotions on this version.

Re: New version of form created new columns in Sharepoint list

You are going to have go through the publish again.

On the Select Coumns to be promoted page of the wizard, select the item you want to promote, and hit the modify button.
On the popup, from the dropdown Column Name: select the correct column.

It seems like when you published the first time with the new form, it created all new column names(Can happen if you used a template that had never been published before or if InfoPath feels like giving you a hardtime)

I would do it in two steps,
1: publish and remove all promoted columns
2: republish and when you add, make sure you select the Column Name.

If you had already done this, then something else is wrong.
