Enabling views changing based on User account?

    Hi,

Is it possible to enable the views changing option from the ribbon based on a current user?

for example, i want user "A" to see only one view, and i want user "B" to see all the available views.

I know i can gather all the views in one view and assign it to user "B", but i prefer the first option.

    Thanks

Yes, it is possible. Please read the following Microsoft tutorials:

    http://office.microsoft.com/en-us/infopath-help/display-a-view-that-is-based-on-a-user-role-HA010174651.aspx

    Good luck!

    Thanks for your reply,

What i meant is to disable/enable the view selection option from the ribbon itself based on the role, it's different from setting view for specific user like you provide.

    Thanks again

Oh I see. What you're describing is a form (XSN) setting and not a per-user setting.

Exactly, sorry i wasn't clear about that.

    So is it possible?

note: i'm publishing it as web form

     Thanks

I don't believe it is possible.

When you create a form, you can add a new view. For each view you can select whether to display it in the ribbon. So this means the view is hidden for all users or displayed for all users.

As far as I know, InfoPath provides no out of the box functionality to display or hide a view in the ribbon according to a user role.

    Hi Ernesto,

In my InfoPath 2010 form, the "user role" command is disable(appearing) under "Data Tab" even after adding also. I wanted to add user role. Please guide me. Or else is there any other way to do this.

this is looking similar to my requirement. Still i want to explain you in detail. I have two views in my form(InfoPath). There are some groups like ITGroup, HRIndiaGroup, HRUsGroup, FacilGroup. Certain groups who has access to particular view, should be able to see only that view in the browser.

InfoPath UserRoles are not available in browser forms. You would need to "simulate" these. You can accomplish this by:

    (a) using something like Active Directory where you can detect which group the user belongs to

    (b) store the user/group info in the main data source, for example, currentUserGroup and currentUserAlias.

    (c) then using those two fields, you can implement conditional formatting on your InfoPath form, for example, to hide or show sections as needed.

    So, to illustrate:

    • User John Doe opens the form
    • The form has logic to detect that John Doe belongs to the ITGroup
    • Then the form has conditional formatting to show the ITGroup section to the user and hide the other sections.

If you don't have an active directory web service, then you could have a Sharepoint list that has a column for the user alias and a column for the group the user belongs to.

    Good luck!

Thanks for your quick reply Ernesto, Think i do not have active directory. you mean to say we have to create columns for user alias and group. Can you explain me a walkthrough, since i am newbie to the infopath.

    Hi-

We did a webinar some time ago for our customers; here is the link.

There are also some tutorials online, which can be found via a Google search, such as this one.

    Good luck!
