infopath 2003- publishing forms on sharepoint

    Hi,

Can someone please help with the following?

I have created a form in InfoPath 2003 and this has a Command Button so when the users press the button it should publish the form in a forms library on SharePoint.

This works without any problems for the first user that submits the form, once one form has been submitted and if another user tries to submit the form they get an error message:

“A value in the form may be used to specify the file name. If you know the value in the form that specifies the file name, revise it and try again. Otherwise, contact the author of the form template”.

I know the error is due to the file name been the same, however is there away that I can set it so when the users press the command button to submit the form it puts something like a time stamp so the file name will be different and I would not get the error message.

    Many thanks

    Hi ashrafa

You need to make the changes in the share point submit data connection. The following steps will walk you through

    1. Open form in Design Form
    2. Go to Tools in menu bar
    3. Select data connection
    4. Select the Dta connection name that you had used to submit the form to Share Point
    5. Click on 'Modify' button
    6. Check 'Allow overwrites if file exists' check box
    7. click on 'Next' button
    8. Click on 'Finish' button
    9. Click on 'Close' button
    10. Save the form and republish the form to Your form Library

    Hi Madhuri,

    Thanks for your replay.

The resolution you have suggested I am already aware of and do not wish to have this type of setup.

I don#%92t no want to overwrite the form when users click on the submit button I want to set it up so it adds the submitted forms to one form library on SharePoint. I need to keep the forms submitted by the users for auditory purpose.

If that is not possible then do you know if it#%92s possible to have two submit buttons on one form saving the forms two different form location on SharePoint. As when I have added two submit button to one form it only lets me save in one form location on SharePoint. If I could have this type of setup then that would resolve my issue.

    Many Thanks

When you create the submit to sharepoint dataconnection you have a field for filename. Use the formula button on the right to create a unique file name with the concatenation function. You may need to add a date/time field to your form for just this purpose or maybe can use the users name, ID, or some other field to make each unique. You may have a version number field too or something but I think that is what you ar elooking for to capture each form but not have duplicate names in your library.

Clay how's it going! I am having the same problem. I deleted the original submit buttton and followed your instructions but I still get the following error message:

"A value in the form may be used to specify the file name. If you know the value in the form that specifies the file name, revise it and try again. Otherwise, contact the author of the form template."

Any help would be greatly appreciated.

    Thank you!

I have the same issue, Hillary Stoup assisted me with the formula, the only isse was we had to add a title, but when someone uses the same title it will overwrite the ticket.

So for now I asked everyone to use a different title. I am looking into adding a time stamp, this should resolve the issue, but having trouble finding out how to do this.

    Hope that helped.

What I've done to solve this problem is: in the- DATA CONNECTION WIZARD: in the File Name: (box) Insert Formula (Fx) button: Type: concat(field, now()) or 'concat(field, today())' FIELD = some field in the document verify the formula, continue. This is your "time stamp"

    I am using WSS 2.0

I tried using a string followed by now()  to submit and it is working perfectly.

The form library I am publishing to is having today's date as breadcrumb.

I am specifying the url of the formlibrary  followed by breadcrumb value.

But since  a new folder is being created everyday , I see a new breadcrumb value everyday.

The form is still being submitted to the form library, but to a folder of older date,

the Link to the form library is referring to the latest folder in the breadcrumb it is not being displayed in the list view,

i.e when I click on Form Library link on home page it  shows http://mysite/myformlibrary/Forms/AllItems.aspx

With title myform library with date as breadcrumb.

    Can anyone help.

     Hi,

I'm facing the same problem with infopath 2007, the issue is that i created a unique file name using the folrmula wizard and the file name uses a field in the form which is filled dynamically and it is read only.

So i have the full name of the user which comes already filled from AD. once i submit i get the error as if the full name field is empty.

I tired the remove the read only and then at rung time i edited the filed with one additional letter or deleted on letter in the value of the "Full Name " field and everything worked fine.

Is there any solution to this problem because i want to keep the field "Read Only" ??

    Best Regards,

    GMK

GMK, I can't really understand what you're saying.  Please view my write up on auto-generating filenames and see what part of it you can use to fix or avoid your problem:

Re: infopath 2003- publishing forms on sharepoint

If the field is auto-populated it doesn't need to be read-only... just don't include the field on your form. It still functions corectly in the background (e.g. populating the way you've told it to) but it doesn't need to be read-only if no one can see it. I'll be happy to walk you through an example if you'd like me to, just let me know. :)
