    Need help in workflow

Thanks for reading, When it comes to InfoPath/SharePoint, my name says it all so be kind.

I have read most of the articles here in forum but am still fuzzy on the process. Wonder if someone would be so kind as to help me in creating a workflow so that once a user clicks the custom Submit button, a workflow is started and an email (with link to form) get sent to both the creator and my group. I have my form grab the users ID from a data connection - "getUserProfileByName" with a default value on field "username()". I'd like to use the ID as a method of emailing. Is there a way to have an email sent to ID and group the same time with a custom message?

    Hi Newbie,

Yes, yes, yes! You can create a SharePoint workflow that emails someone based on a value in the form. You may have to use SharePoint Designer to configure it. Hopefully, you have that. At any rate, you'll want to configure the workflow to work when a form is added or modified - you decide. Probably the latter. Then, you'll need to spend some quality time with SharePoint Designer to determine how to extract the username value from the XML. One hint: make sure the username field in your InfoPath form is promoted. Go to File->Advanced Form Options and choose Promoted Properties and make sure it's in the list. That way, the workflow can get at it to use in creation of the email.

Oh, one other thing - you don't need SharePoint workflow for this. You can just do the email submit before you submit your form to SharePoint. Add a button to your form that has a rule with two actions - first action is to submit an email; second action is to submit to ShP. This works best if you have a rich client (non browser) form but you can still do it with browser forms... some server config is required.

When you become knowledgeable and all-powerful, you'll have to create a new username... :)  I recommed OobNoob. Nobody has that yet... wish I had such foresight on my own account ...

    Cheers

Thanks Patrick. I should have thought of a more original username.

I am very proud of myself of what I have accomplished so far! I created 3 custom buttons - SUBMIT - SAVE - PRINT on my form. Only the submit button doesn't work like I want. Created another Data connection (Main submit 2) for custom button - Action: Submit. Once the submit button is clicked an email is suppose to go out to creator and group. Group is no problem, I just list my members in CC: but creator I want this form to take the login ID (generated by username()).

I used the field "ID" and also used the function "username()" separately in the To: location of "Data Connect Wizard" but with no success. How can an email be sent using the login ID? Very much appreciate any help!

    Hi N,

Assuming the username is the same as the email alias, you just concatenate "@domain.com" or whatever and do that. If the username is not the same, you'll need some kind of a lookup table from username to email alias. If you have connection to SharePoint, you might be able to get the email address from User Profile Service. Qdabra's Active Directory Web Service definitely has that functionality but requires an install.

Thanks Pat, the username is the same as the email address but I do not know how to concatenate with "@domain.com". I tried manually inputting the To: box this: [email protected] but it would not pull the ID from the field. I also tried using the catcat function but the only "Insert Field or Group..." I needed was the ID field and it would not let me manually put in the @domain.com. Please help, I know I am so close!

Next to the "To" field is the fx button that opens the formula editor. Click that.

In the formula editor, use Insert Function. You are looking for concat.

The concat formula will look like:

    concat(yourIdField, "@domain.com")

So, the first bit, that says "yourIdField" you use the Insert Field or Group and go get your ID field from the main data source. The second bit, inside the quote marks, is the additional string that will make up the email address when the formula is concatenated.

Please attach your form to the Options tab if this is not making sense for you, and I can add the formula for you so that you can see it.

     URDAMAN! I mean women.lol

My mistake was just leaving out the quotes, it was not taking the string. Thanks again!
