Newbie-First Run at a infoPath Form....

I have decided to try my hand at creating an infopath form, I am using Sharepoint 2010\infopath 2010 (Design).

I am not sure how to technically ask the question so here is a description.

I have dropdown list (external list on sharepoint) I am using it to pull the Project name.

When you choose the project name, i want it to fill out certian text boxes with other information from that same list.

    example.

    I chose project - Sharpoint

it fills in Project manager\EndDate and Status.

any help and/or direction would be greatly apprecaitated.

    Thanks

Re: Newbie-First Run at a infoPath Form....

Is the extra information unique to the Project Name

    Ex:

    • Project Name = Phoenix, Project Manager = Bob, EndDate = 12/12/11, Status = In Progress

Or is the extra information not unique Project Name

    Ex:

    • Project Name = Phoenix, Project Manager = Bob, EndDate = 12/12/11, Status = In Progress
    • Project Name = Phoenix, Project Manager = George, EndDate = 05/31/09, Status = Terminated

If the first case, then you would just have to filter based on the project name:

    • In the Project Name properties
    • click the Rules button, name as you wish
    • click the Add button
    • click the Add Action button
    • select the Set a field's value from the drop down
    • in the field text box,
    • click the select a field button
    • select the Project Manager field from the Main data source
    • in the Value text box, click the function(fx) button
    • click Insert Field or Group
    • Change the Data Source to the data source that contains the information needed, will not be the Main
    • select the field needed (in this example, Project Manager)
    • click the Filter Data button
    • click the Add button
    • from the left drop down, find the Project Name from the data source that contains the information needed, will not be the Main data source
    • leave the center on as is equal to
    • from the right drop down
    • find the Project Name in the Main data source
    • click OK all the way out, if you click cancel at anytime, you will have to redo all of this

Then test the form. Redo for all the other fields, replacing the field needed.

If you have mulitple project names linked to multiple Project Managers/etc, it is still possible, but unless you are going to use drop downs, and select from them, I don't think that is what you are looking for.

This is the way the day is , a unique project name and number.

I followed the instructions, and in the preview it stills shows that txtbox feild blank?

will it not show up uintil it is published?

Test it in Preview mode to populate drop down lists.  If you already have and still don't see anything in the lists, then you probably didn't set up your filter correctly....take another look~

what control should the Project manager be? I am using it as a text box?

Should it be a calculated feild?

Does the Project Name drop down work correctly when you preview the form?

yes, the drop down works, and is using a secondary source, which is a list on the sharepoint server.

You stated in your first post that project manager is a drop down list which is appropriate if you want the user to choose a project and based on choice have other controls (like text boxes) auto-populate.  When you get to the part (copied below) in the steps (filtering )that is where the auto-fill trickery happens.  You shouldn't need a calculated field to achieve this.

  • Change the Data Source to the data source that contains the information needed, will not be the Main
  • select the field needed (in this example, Project Manager)
  • click the Filter Data button
  • click the Add button
  • from the left drop down, find the Project Name from (secondary) data source that contains the information needed, will not be the Main data source
  • leave the center on as is equal to
  • from the right drop down
  • find the Project Name in the Main data source

So i should be using text boxes for the autopopulation? I will try the instructions again, maybe this morning, i might see what i have missed.

    apprecaite the patience and help!

Yes, that is what I've done (use text boxes for auto fill fields) although you can probably use any type of control.  I updated my post with the part of the steps that are important to this process - read it again when it appears. (For some reason it doesn't update immediately).

This thread addresses the issue you're having: http://www.infopathdev.com/forums/p/2301/35872.aspx
