I would like to limit what gets emailed from my form

Hi Guys, brand new to InfoPath and this forum. I have successfully built a couple of forums but have been asked on my most recent one to have a table on the form that will display when the form is opened but that will NOT get emailed when the form is submitted (sent to 2 email addresses).  I tried to do a number of searches in Google and on your forum here too but somehow I don't think I am using the right keywords because while I can find stuff on filtering etc, I have not been successful in finding out how to restrict what gets emailed.

As I said Brand New and Shiney!! So, if this message is in the wrong place - Please, move it into the right category.

    Thanks,
    Ron

Big welcome to Brand New and Shiney! :)

I recommend defining an "email view" - just create a new view called Email. You can ctrl-a select the entire existing view and ctrl-v copy it into the new Email view. After copying, just delete the table. As part of your submit button, add an action to your button's rule that switches the view first before submitting to the data connection. Should be a piece of cake with delicious frosting. Let us know how we can help further.

Re: I would like to limit what gets emailed from my form

    Hi Patrick,

You were correct piece of cake with delicious frosting  :) - Thank you so much for that. Now I do have one other question: I have created several tables, each with 1 column and several rows. Each table has question on one line and answer below (seemed to work best for the people I am doing this for...), What I would like to do, if possible, is to send the Questions and answers as Text instead of the form in the email.

So you know why the request, the form serves as input to a ticketing system. Right now a person actually picks up the email and dumps it into the ticket. It would be very nice if he could just copy and paste what is in the email as text directly into the ticket, for now.  My next step is to talk directly to the ticket folks and see if I cannot have my form configured to dump directly to the ticket system... but that will take a little work in changing attitudes about access to the ticket system. So for now if the person can grab text from the email and past it will make their work a lot easier.

I did see options in the help files to export to EXCEL, XML, PDF, XML Paper Spec, Read Only HTML ... and there are also option for 3rd party converters - but no option to just present the Question and Answer in Text format. Is this possible?  From the email, when I try to highlight the info in the table - it highlights the questions, but not the text that is in the Text Boxes in the forms which means a lot of work for the person trying to grab the data from the form.

I did wish to say Thank You for the quick response on the last question and let you know that I really enjoy InfoPath and believe I will also enjoy being a member of this forum!

Ron, is this being used within SharePoint at all, or is the form completely standalone?  InfoPath itself can only email the form - it can't email text separate from the form.  However, this could all be done with SharePoint workflows connected to the form library or list where the form is being submitted.

Re: I would like to limit what gets emailed from my form

The answer would have to be yes. But please understand our SharePoint env (to this point) has only been used for doc storage.... and I was planning to put the form up on the SharePoint env to make it accessible to all to use. We do have workflows available to us - I checked. There is no need for us to keep the form once emailed. You state "it can't email text separate from the form" - please understand we are not trying to email text separate from the form but rather convert the form and its entries into TEXT to email. Space is a consideration for us as well at this time but will do what it takes to make this work. Just so you know I have NO experience with WorkFlows at this time, so I may have dumb questions as we work through this. I have been looking at SPD 2k7, but not yet begun the training.

I appreciate any assisatance that can be provided and Thank You for same!
    Ron
