    New Action Items Database

I need to create a new action items database. I plan to use InfoPath and save the files to our SharePoint site. I have specific requirements that are forcing me to come to the forum.

I need file attachments. One reason I am using InfoPath and SharePoint.

I need to have multiple responsible persons. I want each person to be able to status list their own status. The writable fields in the table would be: Assignee, Status, and Percent Complete. The read only fields will be: Assigned By, Assigned On. I have the read only fields working. I am just using a numeric field for the percent complete with validation rules that limit the value to 0 – 100. I have a combo box for the status field. Here is the tricky part. I want to have an overall status field that is read only to the user that will look at the list of statuses next to each assignee. Then update the overall status based on business rules.

Next I want to have a repeating table with only read only fields for comments. The fields will be: Comment On (date/time), Comment By (current user), and Comment. The way I want the user to be able to add a comment is to have an Add Comment field and an Add Button. The user will fill in the comment and click the button. The button will add a row to the bottom of the repeating comments table and fill in the three values. This way, users can only add comments but not delete. They can only add comments and not change existing comments.

Additionally, I need to be able to send an email to each of the assignees in the Assignees table.

I hope someone is will to help me with this little project.

    Thanks,

    Marion

    Re: New Action Items Database

Hi Marion and welcome to our forum!

We'd be happy to help you with your project. In fact, we have some components that will help you complete this quickly. If you would like to leverage our expertise and tools, please send me e-mail by clicking on the e-mail poster icon at the top of this post.

Alternatively, if you intend to do the design and development yourself, please feel free to continue posting questions in the forum. We have done hundreds of forms. Your requirement about locking the comments and allowing for asynchronous updates, etc. suggests that you may be best off using a SQL database. In addition, there are several known limitations with SharePoint (flat data, scalability, permissions) that may pose challenges down the road. My suggestion would be to leverage the new version of our Qdabra Database Accelerator Suite (BASIC version is FREE) which will enable easy integration with SharePoint and support digital images with no problem. Plus, you get a huge head start on the development. With the suite installed, you will probably need between 20-40 hours of work to build the solution, design the reports, and configure the workflow. Let me know if you are interested. We will be releasing version 2 in the next few weeks. We have many people on beta now and I'd be happy to send you the most recent build.
