    Dropdown value different is different display in the form and in XML file

    I have a dropdown field in a form. After I select a value (from a SQL table) and submit the form. It display the company name, A. SCHULMAN, INC. correctly in the form. However, the field is display as "6961FC7DOEB21DA2852576A00041F7D3" in the sharepoint list (I add this field to the list) and in a XML file.  What I should do to fix this problem. Thank you in advance :)

    Well, it sounds like your dropdown is configured to have different values for the display and value of the control. So, for example, if a GUID or ID from your SQL table is used as the value and the Company Name is used for the display, the form XML will store the value, but the template will show the display based on the secondary data source for the drop down control. Take a look at your drop down control properties -- I think you'll find different fields used for the display and value of the control.

    You are right. I did use ID to auto fill another field. I will need to save the company to a hiden field. Thank you.

    I will appreciate if someone can show me how to hide a control/field permanently (no condition). Thanks.

     I'm no expert, but I either:

    • Use a condition that is always true or false (i.e. If Field 1 is blank, hide this field AND If Field 1 is not blank, hide this field)
    • Set up the field, then delete the control that's bound to it. The field will remain in the data source, but won't be displayed in the template itself

    In the Design mode you can delete the control without deleting the corresponding field in the datasource. This will hide the field as a result.

    using Microsoft.Office.InfoPath;

    You can simply add fields in the data source task pane -- no need to create and delete controls. Open the data source task pane, select your main data source. Right click the group you want to add the field to and select Add. Enter a meaningful name for the field, select the appropriate data type and select OK and you are done!

    Re: Dropdown value different is different display in the form and in XML file

    Thank you all for your help. My first InfoPath project is almost completed. The last thing I need to deal with is the access control. I would like to set the access to the form as:

    (1) Everyone can fill the form. But they only can view their own forms.

    (2) After a form is approved, submitter no longer can edit the fields.

    (3) The approvers can view and edit all forms (any time).

    I have already created a role for the approvers who are the only one can click the approved button. Other than that, no access control has been setup yet. My question is that can I accomplish the above need in InfoPath (if yes, how? So far, I have no found much information on this) or should I do this in Sharepoint's document library? Please advice. Thank you again.

    Re: Dropdown value different is different display in the form and in XML file

    I accomplish most my access control needs. I disable the "save", "save as" and "submit" from tool bar in infopath. Hide submit and approval buttons after a form is approved. Setup users can only see and edit their own documents in sharepoint. I need to solve one more problem - deletion. In sharepoint access, I set default users have the "contribute" right - can view, add, update and delete. I do not want them to have the delete right. However, there is no another permission in sharepoint can fit my need. Is there is way I can provent user delete a filled form in infopath? Please advice, Thank you.
