Using a Secondary connect to pull the last data enter to a list based on the department and date.

I'm attempting to use InfoPath 2003 and SharePoint 2007 to use a Secondary connection to pull the last data(6 fields) entered to a list based on the department and latest date, back onto a InfoPath Form anytime a new form is created for that department.  Please help.

    East Coast<----Dropdown

Alanta         Wash D.C.        JacksonVille       Mami     Boston

    Current Totals     100              200                    400                 500        600

Previous Totals   ?                  ?                         ?                   ?            ?              <--------------------------Should come from the list by the last entered

                                                                                                                                                                                      by department(EastCost)

When you query a SharePoint list, the data connection will retrieve ALL the data. I know there is a data connection wizard in InfoPath 2007 but don't know about InfoPath 2003. There is no way to filter (on the server) to select only a subset of data. So you'd create the data connection to query the SharePoint list, retrieve the ENTIRE list, then filter on the client (via Rules, probably) to get the data that you need to display. If you have a lot of data on the list, the data connection will be slow.

Qdabra has a handy suite of webservices called DBXL that (among many other things) includes a web service that filters server-side. DBXL has a free trial version and I recommend trying it out (for the server-side filtering) if your Sharepoint list is huge and you encounter performance issues on the data connection due to its size.

Okay it worked. Now how do out get it to filter based on a (Department) dropdown on the InfoPath Form, so that it only return the data based on the department stored in the list. Thanks.

When you create a rule with an action to set a field's value, you'll see the option to filter the data. Just create the filter you desire and you're done!
