    Copying Forms Permission

    Dear All,

I'm wondering if we can copy forms permission once we copy the forms to other location.

I created a browser form that contains two button. One is 'Save as Draft' and the other one is 'Final Submit. When user click at 'Final Submit', the form will be submit to other document library. The problem is, each forms that is created have different permission. (E.g.:Form A has Group A with Read permission, Form B has Group B with Read permission). Can I bring along the form level permission to the new document library whenever user click at 'Final Submit' so that user don't have to re-setting the form permission back to the appropriate group?

    Thanks.

Nope I do not beleive so.

If you use SQL you can get these granular permisions but it is a whole different architecture, adding reporting and other features.

    Ic, thanks Clay..

I have an alternative method, (if copying forms permission is not possible), which is send to different location based on certain condition.

For example, if the form is created under Category A, then it will submit to "Category A" doument list (the document list will be created first)..

So can I submit the form dynamically based  on the condition without using a rule? Because when I try to use Submit from data connection, it just allowed me to enter ther path of the submit location. I think if I can pass a value from the form data list to the destination path (e.g: http://www.sampleurl.com/ConditionA where "Condition A" is take from the main data list), then I think my problem should be settle already.

     Could you advise on this?

    Thanks.

Yes this will work too, as long as you do not have too many iterations. The downside is then the forms are all scattered about.

    To answer your question.

You cannot change the path of the data connection, it is static, however you just create a data connection for each location, library, you need and then use conditional rules to pick the correct data connection to submit to based on category or whatever.

If you are trying to create subfolders in a library you have to use code and it is a bit complex.

    Re: Copying Forms Permission

    Hi Clay,

Actually i would want to make the submit activity to be dynamic, this is because the form has a lot of category ( over 100+), and it might increase in the future.

FYI, I get the category from the custom list. And my plan is to send to document list with the name of the selected category. I think it will be inconvenient to create data connection for each category. It is okay if user have to create a document list for each category, but I cannot let user to open the form and create a new data connection each time they create a new category.

Actually I've to create a code behind for the form to send dynamically, but InfoPath have disable the code-behind. It says that 'Save using custom code is not supported in brwser-enabled form templates'. I've browse google to find for any solution, but none of it working..This is the problem that make me wondering if there are any other ways I can do to submit dynamically without using code.

Please advise if you have any solution/suggestion on my problems.

    Thanks.

    Re: Copying Forms Permission

So this is getting to be really complex. The original goal was to have unique permissions, I do not see this method gaining anything in this area since the permissions would still have to be set for every one of these hundreds of DL.

And now you tell me it is a browser based form, which further complicates things.

With a SQL solution you can just set permissions based on the user or who the form is assigned to dynamically.

You also could probably do this with Sharepoint designer and have it move and create Document libraries.

    Good Luck.

    Hi Clay,

Isyour suggestion to do the Sharepoint Designer means involves workflow?

    In a sense.

It would be a type of workflow to process the form, possibly create the location for it, update the permisions, and then move the form there.

How will the users keep track of the forms and the specific location they end up?

Seams like this would be an issue trying to find your form.

It may be easier if each user had a personal DL with their permisions that these pending documents would sit in and they would always know where to look.

    Re: Copying Forms Permission

    Clay,

I'm doing something similar, and would like your opinion.
We are migrating a Lotus Notes application to MOSS where in the Lotus Notes application they were able to dynamically change the permissions for a form. We've chosen the same InfoPath route and before moving into development would like to know what would be the way to go about this.

Again, just to be clear, we like to know what would be the best way to create dynamic item level permissions for an InfoPath form.

    Thanks
    Aria
