    Form- keep existing data

I apologize if this has been asked and hopefully it is a painless answer to my questions. I have a form that is almost like a stoplight for status. The user chooses redlight, yellowlight or greenlight and there is a picture that shows up of each color light according to what they have chosen. I did this by hiding the area if such and such is not equal to redlight etc. There is also an area for the to type in quick notes to say why they are in "red" "yellow" or "green" status. This is submitting into a form library and to a document library. When I refresh the page the form opens new and clear. The end user wants this to remain open with the last submitted information. Is this possible? I have literally tried everything to get it to show red yellow or green when opening but it always defaults. My first thought was use form load and pull in the data, but I think (since it is a drop down) I would need to have that drop down push to a text field (which would be hidden) then I would have to say If is equal to RedLight then show (this picture). Or is there a way to just have a dynamic page view (iframe) of the latest form and I can just keep the new one up to update. Sorry I am sure this is confusing.

Yup, this is confusing! What are the submit options set to? What, at its simplest level, are you trying to accomplish? The user wants her new form to have the same data as the last form she filled out?

Right now this form is going into a Doc Library. I have this form in a webpart on the front page. Each entity is supposed to go in and update their status to Red, Yellow or Green and submit. She wants that last submission information to remain on the form, so when the next update is needed they will see the previous status. So if they entered Yellow status; when they come back to that site later they will see that they had entered yellow and see the note. Simply put- Submit form but do not clear form?

Maybe a query on load that returns the status for the user's prior forms, sorted by Modified date descending, so that the first item in the returned data would be the last status?

That there might work. Let me see what I can do. Thank you for your help!

Okay- I think I had a solution to my problem What I did was make two views. 1)Submitting Form- This has on it 5 drop downs with Red, Yellow and Green and then a small rich text box. View 2) has 5 columns with 3 sections in each. Each section has a separate picture (red circle in section 1, yellow in section 2 and green in section 3) Each section is hidden unless a condition is met (the drop down equaling red, yellow or green) that all seems to work. the issue I am running into is that my query is pulling the oldest form information and not the newest. How do I get it to pull from the latest data submitted? On the main screen I have a view of both views of the form so the status is always up and a new form is waiting. I have tried everything to get the new data.

When you set up the data connection, you should have an option for sorting (on the dialog where you select columns). I'd sort by Modified, descending - had you already tried that?

That worked perfectly. One last thing I am working out with it- If there is a field that is submitted blank- is there a way to pull the last non-blank data? So if one time an associate puts in Red for our Germany office, but another associate leaves that area blank on their submission. can I pick up the value from the non blank one?

Sure, you should be able to add a filter in the rule that is setting the value - where you picked the field for the value, there should be a filter data button - you can add a filter so that the field can't be blank - attach your form if you'd like me to give you a hand (you can attach a file under the "Options" tab in a reply).

I have attached the file. I tried the filter several times, but tells me I am not allowed to. There are two views on this form- Associate submits on Default view and then sees last submission on current view. Any hints you could give me would be greatly appreciated!

Check field23 and MunichLastNotes - I saw they both had default values and added a filter to both defaults to exclude items where MunichStatus is blank. Where were you trying to add a filter?

Right clicked on Munichs last note. Went into Default Value, Clicked Insert Field or Group and then Filter Data, Add and then MunichLastNote is not blank. I am in the wrong place?

This was in the main data source? You can see in the copy I attached that I was able to add a filter - I'm just confused about why you had an error when you tried....

Thank you so much for your help. I figured out where I was getting the error. When I added the filter- I was doing it off the same field and it wouldn't allow me. Once I did it on a separate field it worked immediately. Seems to be working perfectly now. thank you again!
