To migrate documents from one DBXL document type to another, one would follow the following high-level steps. Each of these steps is included in this document. Click DOWNLOAD above for more details.

Delete the documents in the target document type
Export the documents from the source document type
Import the documents to the target document type

Reshredding all documents for a document type using Document Deployer

The Qdabra DBXL Administration Tool (DAT) allows you to quickly reshred all documents from a document type:

1. Open the configuration for the document type by clicking the Edit icon
2. Select the Documents tab and click on the Reshred All button.

However, you may encounter an error due to timeout if your document type contains too many documents (usually in the order of thousands).

The good news is that you can use Document Deployer to reshred a large number of documents. The tool reshreds the documents one by one so that the timeout does not occur.

Deleting documents and flow for a Form

When a user deletes a document that was created off of a qForm-based solution, DBXL will still contain data related to the document’s assignment history. This is stored in the system document type called QdEmailFlow. The visual effect of this is easily seen in the Catalog view taskpane: ‘zombie’ users are present even though they do not have any documents assigned to them. There is an advanced customer scenario that depends on deletion: pruning and archiving. This occurs if databases begin performing poorly when there is too much unneeded historical data.

Transform and migrate xml documents

Starting with version 2.4, Qdabra’s Migration Tool provides the ability to migrate all of the documents in one document type to a newer document type, and convert those documents from one XML structure to another in the process. With this feature, you can create a new version of your form with a different schema, and then upgrade all of your old forms to this new schema with relatively little time and effort.
